  • Job Description

    Overview

    The stock clerk provides customer service to internal and external customers by issuing automotive parts and maintaining accurate inventory. The clerk receives stocks, and distributes materials to mechanics, and ensures proper labeling and organization of all items. This position also reviews and processes invoices, conducts cycle counts, and assists with physical inventory. As well as coordinates stock transfers between warehouse and storage locations, monitors inventory levels, and reports shortages to the supervisor. This role supports daily operations in collaboration with the Inventory Administrator.

    Responsibilities

    • Maintain supply chain components for maintenance activities and programs by submitting requisitions and/or sales orders for materials to fill orders

    • Maintain stock and non-stock receipts and payables by reviewing, recording, and reconciling invoices for vendor payment using FleetFocus M5 and Infor Lawson

    • Receive and code invoices turned in from buyers and contractors

    • Maintain open and closed work orders

    • Confirm incoming/outgoing orders to verify receipts/ shipments of items on requisition or invoice

    • Maintain logs and files documents

    • Unload incoming supplies and parts

    • Inspect incoming orders for damage and document any issues on the waybill

    • Verify quantities against packing lists and receive items into the inventory system

    • Resolve discrepancies with Foreman

    • Issue inventory to work orders, ship, and receive parts and equipment

    • Organize and maintain materials in storage areas

    • Store materials in bins, floor areas, or shelves based on project, type, size, or other identifying information

    • Maintain the Parts Room inventory control process by performing physical inventory cycle counts and annual physical inventory counts

    • Check inventory against records in the system

    • Distribute stock among technicians, keeping records of material issued

    • Fulfill internal and external supply and material orders

    • Receive customer documentation and enters data into management system

    • Pickup parts by driving a City Vehicle to part dealers when Fleet Operations Clerk is unavailable

    • Other duties as assigned

    Position Type and Typical Hours of Work

    • Non-Exempt - Full-Time - Monday - Friday 8:00am - 5:00pm

    • Must be available to work additional hours as needed

    • Flexibility to work evenings, weekends, and holidays is a schedule requirement

    • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

    Minimum Qualifications

    • High School Diploma/GED

    • Six (6) months to one (1) year experience

    Licenses and Certifications

    Required

    • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hiring

    Within six (6) months of hire

    • City forklift certification

    Basis of Rating

    A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview
