    Job Summary

    The City of Olathe is seeking a Senior Parts Specialist to support Fleet Services by managing and controlling parts room inventory for the City’s diverse fleet of vehicles and equipment. In this essential role, you will help ensure the right parts are available for scheduled maintenance and repairs by maintaining appropriate inventory levels, supporting cost-effective purchasing, and keeping system workflows accurate and timely.

    The Senior Parts Specialist plays an important role in supporting the vehicles and equipment that keep City services operating efficiently. Working closely with technicians, supervisors, vendors, purchasing staff, and other departments, you will help minimize downtime, maintain service levels, and contribute to safe, reliable operations across the organization.     What You’ll Do

    • Manage parts procurement, including locating, purchasing, receiving, issuing, and tracking parts for City vehicles and equipment
    • Maintain accurate and sustainable inventory levels through regular counts, documentation, and analysis to support scheduled service needs and minimize downtime
    • Oversee parts-related system workflows, including item requests, work order charges, purchase orders, expense reports, and warranty or backorder tracking
    • Coordinate with supervisors, technicians, vendors, purchasing staff, and other departments to ensure timely parts availability and cost-effective sourcing
    • Provide input on bid processes to support efficient and economical purchasing decisions
    • Keep the parts room and related work areas organized, safe, and compliant with City standards
    • Support Fleet Services operations during after-hours emergencies, as needed


    What We’re Looking For

    • At least five years of experience managing a vehicle and equipment parts inventory valued at more than $250,000, including acquisition and purchasing processes
    • Progressive experience in the acquisition of automotive and heavy truck parts
    • Experience using FASTER or a comparable computerized inventory or fleet management system
    • Mechanical experience with both on-road and off-road equipment preferred
    • High school diploma or equivalent required, supplemented by specialized training in computerized inventory control systems
    • Valid driver’s license with a favorable driving record required
    • Forklift Certification and ASE P1 (Medium-Heavy Parts Specialist) and ASE P2 (Automotive Parts Specialist) certifications required within the first year of employment


    Hourly Rate: $28.00 - $33.20, based on experience and qualifications

    The Senior Parts Specialist is responsible for managing and controlling the parts room inventory to support the City’s diverse fleet of vehicles and equipment. This includes determining the appropriate quantity, cost and type of parts to stock and ensuring availability for scheduled services. This position oversees the accurate and timely processing of system workflows, including item requests, work order charges, purchase orders, and expense reports, and provides input on bid processes to ensure cost-effective purchasing. The Specialist coordinates closely with technicians, supervisors, and other departments to maintain operational efficiency, accuracy, and customer service excellence.

    Key Responsibilities:
    • Manages parts procurement, including locating, purchasing, receiving, issuing, and tracking parts for City vehicles and equipment; maintains accurate and sustainable inventory levels through regular counts, documentation, and analysis to minimize downtime; coordinates with supervisors, technicians, vendors, and purchasing staff to ensure timely availability of parts and cost-effective sourcing.
    • Oversees all parts-related system workflows, including work order charges, purchase orders, and warranty or backorder tracking.
    • Keeps the parts, room and related work areas organized, safe, and compliant with City standards; leads by example in promoting the City’s Leadership Philosophy, safety practices, and customer service standards.
    • Provides directions to the parts work group and supports Fleet Services operations during after-hour emergencies as needed.


    Qualifications

    Experience: A minimum of five years’ experience in managing a +$250K vehicle/equipment parts and materials inventory, including acquisition and purchasing processes is required. Demonstrated progressive experience in the acquisition of automotive and heavy truck parts is also required, with equivalent experience using FASTER or a comparable computerized inventory/fleet management system. Mechanical experience with both on-road and off-road equipment is preferred.

    Education: A high school diploma or equivalent is required, supplemented by specialized training in computerized inventory control systems.

    Licenses and Certifications:A valid driver’s license with a favorable driving record is required. Forklift Certification and ASE P1- Medium-Heavy Parts Specialist and P2- Automotive Parts Specialist certifications must be obtained within the first year of employment.

    Environmental or Physical Demands: Routinely performs medium-to-heavy physical work in a repair-shop environment with routine exposure to noise, dust, oils/greases, exhaust and chemicals, frequent standing/walking on hard surfaces, regular lifting and carrying of automotive/heavy parts, repetitive reaching (including overhead), ladder/rolling-stair use to access high shelving, frequent push/pull of carts and pallets, and periodic power-industrial truck (forklift/pallet jack) operation. Work may occur in temperature-variable shop spaces.
