    Overview

    The Administrative Support III position will provide customer service by processing payments and perform essential administrative and technical duties. This role assists the Department in accepting payments, posting payments and answering basic utility account questions. This position interacts with external customers via forms of customer intake to include, but not limited to inbound/outbound calls, callbacks, emails, intake forms and online application requests. The administrative support will research account disputes and billing anomalies to find resolution. In addition, this role will also Issue service requests related to gas services.

    Responsibilities

    • Receive and process payments to customers' accounts

    • Accurately enter payments received by mail to customer's account

    • Help customers complete paperwork required to set up automatic bank draft and verify the information matches supporting documentation

    • Count all currency, checks, credit cards and record the transactions on the balancing sheet

    • Research complex customer claims on billing disputes

    • Maintain a strong understanding of the billing system and rate structure to identify and resolve utility account discrepancies and billing inaccuracies

    • Assist customers in understanding the billing system

    • Provide customer follow-up by calculating and preparing requests for bill adjustments, refund requests or bill corrections

    • Provide customer service support

    • Assist customers by researching payment questions

    • Responsible for making suitable payment arrangements or extensions for customers to avoid disconnecting services and subsequent collection activity

    • Responsible for the monitoring of delinquent payment arrangements and taking necessary collection action

    • Complete Maximo work orders and the associated documentation using information from field staff

    • Maintain accurate records for reporting purposes

    • Utilize any programs that may track and report progress

    • Coordinates with supervisors on project planning and reporting

    • Run reports to identify meters not registering in the AMR system

    • Process and track work orders while coordinating customer appointments for meter or AMR repairs

    • Order supplies for Department

    • Perform other duties as needed

    Position Type and Typical Hours of Work

    • Non-Exempt - Full-Time - Monday - Friday 8:00am - 5:00pm

    • Must be available to work additional hours as needed

    • Flexibility to work evenings, weekends, and holidays is a schedule requirement

    • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

    Minimum Qualifications

    • Associate's degree (AA/AS); or 2 year technical certificate

    • Two (2) years of experience

    Licenses and Certifications

    Required

    • A valid driver's license is required; successful out-of-state candidates must be able to obtain a valid Texas driver's license within 90 days of hiring

    Basis of Rating

    A recruitment consultant will evaluate all applications against the posted qualifications. The city may also conduct additional skill assessment tests, in addition to the panel interview
