POSITION PURPOSE / IMPORTANT APPLICATION INFORMATIONThis is a highly responsible administrative position involving a variety of complex executive assistant duties that support the needs of the staff of the Chief of Staff’s Office, City Manager’s Office, City Clerk’s Office, and members of the Westminster City Council. The duties associated with this role encompass serving as the front desk receptionist for the City Manager's Office and encompass various responsibilities related to the City Council, City Clerk's Office, Chief of Staff and the City Manager's Office.
Work is performed with minimal supervision and requires initiative and exercise of independent judgment based on knowledge of administration policies and procedures of the City organization. The ideal candidate will possess strong written and verbal communication, administrative and organizational skills, and possess the ability to maintain a realistic balance among multiple priorities. The incumbent must be able to balance multiple high priority projects and handle a wide variety of activities and confidential matters with discretion. This position will report to the City Clerk and works directly with the City Manager, Deputy City Managers, City Council, and other City employees. This position will require a 100% in-office, Monday through Friday, 8:00 a.m. to 5:00 p.m. schedule. Occasional evening hours are required. City Hall hours are Monday through Friday 8:00 a.m. to 5:00 p.m. and may require some work outside of this schedule.

The full salary range for this position is stated above. The starting range of pay is dependent on qualifications and experience of each individual candidate. JOB SPECIFIC FUNCTIONS Essential Job Functions, Duties, Responsibilities, and Tasks City Council/Chief of Staff/s Office/City Manager’s Office/City Clerk’s Office Executive Assistant
1. Assists the City Council, Chief of Staff's Office, City Manager’s Office, and City Clerk’s Office with duties including:
- Receiving and hosting visitors, answering telephones, and responding to inquiries by phone or email
- Maintaining and coordinating City Council calendars, events calendars, internal and external contacts, and schedules
- Working collaboratively with your executive assistant teammate to ensure complete front desk coverage
- Participating in security and de-escalation training in order to address difficult or contentious issues in a constructive manner
- Handling City Website Calendar Management including weekly review and annual City Council and Study Session Meeting Schedule
- Scheduling for City Council events such as onboarding, groundbreakings, ribbon cuttings, speaking engagements, annual dinners, stakeholder meetings, receptions, and forums
- Making City Council travel arrangements and mileage reimbursements
- Maintaining City Council memberships and overseeing sponsorship budget, processing expenditure reports, contract payments, purchase orders, purchasing cards, and professional memberships and subscription dues
- City Council meeting room set-up and clean-up of boardrooms and chambers including ordering and providing snacks and meals
- Providing support during City Council and Study Session meetings as needed
- Providing City Council onboarding administrative support
- Making CMO Staff travel arrangements, processing purchase orders, P-cards, membership dues, and mileage reimbursements

POSITION REQUIREMENTS/WORKING CONDITIONS/PRE-EMPLOYMENT REQUIREMENTS Education, Experience, Skills, Formal Training, Licenses, and Certifications Required :- Graduation from high school or GED
- Five (5) years of progressively responsible professional level work supporting highest level management
- Proficient in the Microsoft Office Suite (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms
- Must be able to type 40 words per minute with accuracy
- Knowledge of general office practices, record keeping, scheduling and expense tracking
- Maintain valid driver’s license and safe driving record for continued employment
Preferred :- Bilingual fluency in Spanish Hmong, and/or Laotian
- College level courses in business administration or public administration or related subjects
- Experience supporting the office of the City Manager and/or City Clerk

Physical Requirements Work is sedentary in nature, and requires sufficient physical stamina and strength for:
- Constant sitting to perform daily tasks; occasional walking through a multi-level facility to retrieve information; frequent standing, sometimes for extended periods
- Frequent squatting, reaching above shoulder, and twisting to file documents and lift supplies and material; occasional bending, kneeling, climbing, balancing, and reaching below shoulder to store documents, material, and supplies
- Constant light grasp, fine manipulation, and handling to perform daily duties; occasional firm grasp to safely use equipment
- Frequent lifting, carrying, pushing, pulling, and lifting of up to ten (10) pounds to move material and supplies; occasional pushing, pulling, and lifting of up to 25 pounds with dollies and carts
WORKING CONDITIONSWork is constantly performed indoors. This is primarily sedentary office work. Must demonstrate the ability to meet the physical demands of the job, including the ability to retrieve information from various locations in the office when needed. Exposure to periods of high activity and stress under demanding conditions. The position requires a great deal of communication with City Council, Department Heads, City employees, the public, and outside agencies.

The City of Westminster does not participate in the Social Security system. In lieu of Social Security contributions, the city contributes to a 401(a) defined contribution plan on your behalf.
401(a) Contribution Rates:Employee Mandatory Contribution: 11.5% of your base pay. Contributions are pre-tax and fully vested.
Employer Contribution: 12% of your base pay.
