The Transportation Dispatcher is responsible for coordinating, scheduling, and monitoring transportation services to ensure timely, safe, and efficient movement of drivers, vehicles, and/or passengers. This role serves as the central point of communication between drivers, management, and clients, prioritizing service requests while maintaining operational efficiency and high customer service standards.
Essential Duties and Responsibilities
- Coordinate and dispatch drivers, vehicles, or transport staff according to schedules, service requests, and priority levels
- Monitor real-time transportation activity and adjust assignments as needed to address delays, emergencies, or changes in demand
- Maintain accurate dispatch logs, schedules, and records using computerized dispatch or tracking systems
- Communicate clearly and professionally with drivers, clients, supervisors, and other departments
- Prioritize transportation requests to ensure on-time service delivery and efficient use of resources
- Track driver availability, route progress, breaks, and completion of assignments
- Respond promptly to issues such as delays, equipment problems, or customer concerns and escalate when necessary
- Ensure compliance with organizational policies, safety standards, and regulatory requirements
- Assist with training new drivers or dispatch staff as needed
- Maintain a professional, customer-focused approach in all interactions
- High School Diploma or equivalent
- Prior experience in dispatching, transportation, logistics, or customer service preferred
- Proficiency with computers, scheduling software, or dispatch systems
- Strong verbal and written communication skills
- Ability to multitask, prioritize, and work effectively in a fast-paced environment
- Strong problem-solving and decision-making abilities
- Experience in healthcare transportation, logistics, or fleet coordination
- Knowledge of routing, scheduling, or transportation regulations
- Supervisory or lead experience
- Ability to sit for extended periods while using computers and communication equipment
- Ability to handle high call volumes and fast-paced operational demands
- May require evenings, weekends, holidays, or on-call availability depending on operational needs
