Job Title: Office Manager (front desk)
Salary: $55,000 to $60,000 annually
General Description and Classification Standards Manages and directs the daily operations of the Office of the Mayor. This includes office management, reception duties, and administrative functions. Duties and responsibilities include but are not limited to receiving and responding to telephone inquiries, ensuring efficient operations, planning expenditures, maintaining budgetary records, and preparing reports. Position reports to the Business Manager.
Essential Duties & Responsibilities - Register, welcome and assist each stakeholder and invited guests while visiting the suite.
- Answer the telephone and forward/record calls appropriately.
- Assist with the setup, cleaning and sanitization of the Mayor’s Cabinet Room and the Mayor’s Small Conference Room; ensuring area is neat, cleaned, and sanitized.
- Perform calendar scheduling for the Mayor’s Cabinet Room and Mayor’s Small Conference Room.
- Process iExpense statements and credit card reconciliations for travel team.
- Process incoming damage claims.
- Order and distribution of office supplies for the office.
- Monitor and respond to emails received in the Exe Business Office email account.
- May perform other duties as requested.

Minimum Qualifications - Education and Experience - Associate degree in secretarial science, office management, business/public administration, or related field.
- Three years of experience in a progressively responsible secretarial, clerical, or administrative role and supervisory/management experience required.
- Intermediate skills in Microsoft Office software applications (Outlook, Word, Excel and PowerPoint)
Preferred Education & Experience Bachelor’s degree in business/public administration and 3-5 years of office management experience preferred.
