    Position Description
    Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

    Major/Essential Functions
    • Supports Service Plus philosophy of TTUHSC and Texas Tech Physicians of Lubbock to include the mission, vision and SPIRIT values. TTUHSC Values Based Culture.
    • Understands, cooperates with and supports all initiatives of our 5 Key Performance Indicators (KPI) Patient Satisfaction, Quality, Financial Performance, Business Development and People Development.
    • All Employees are expected to understand and conduct themselves in accordance with the performance criteria for their particular job and with all rules, procedures, and standards of conduct established by the System, University, and the Employee's department or unit.
    • Communicates, reports, and documents accurately, honestly, and in good faith. Performs work in a professional manner and in accordance with expected standards of performance; Adheres to attendance, timeliness, and work schedule standards.
    • Faculty Credentialling - UMC and Covenant plus New Mexico
    • Physician ePafs for Non-Salaried Appointments to include completion and submission of packets
    • Faculty Memberships and renewals
    • Faculty Licensing and renewals
    • Faculty Conference registration and Hotel booking
    • Faculty travel reimbursement
    • Manage Faculty Outlook calendars - Send and Receive invites to include update as needed for clinic schedule or patient add on appointments
    • Remind Faculty of upcoming meetings the day before or the day of - in person (face-to-face)
    • Coordinate and schedule Faculty and Department meetings to include sending invites, food order, food set up and clean up.
      • Create and print Agenda
      • Print Sign-in Sheet and obtain signatures
    • Coordinate Pharmaceutical meetings with Faculty to include sending invites, food order, food set up and clean up.
      • Schedule Educational lunches
      • Create and print Agenda
      • Print Sign-in Sheet
    • Faculty vehicle registration and parking - UMC, Covenant and TTUHSC
    • Faculty Digital Measures - manage Faculty submissions and updates
    • Coordinating Faculty Evaluations with Faculty Affairs and Department Chair
    • Coordinate Monthly Birthday lunches to include food order, food set up and clean up and send invites
      • Print Sign-in Sheet and obtain signatures
    • Manage supply orders include submitting Purchase Orders. Organize and track supplies.
      • Reconcile Purchase Orders with Packing Slips
    • Coordinate events, such as Christmas Party
      • Work with Sr. Clinical Dept. Administrator and Residency Coordinator
    • Invoicing - Aqua One, TAS Stenocall, Alsco and Contracting
      • Submit PO, reconcile expense, submit Invoice for payment
      • A/R entry and reconcile
      • File records in appropriate binder
    • File Expense Report documents and other documents as assigned.


    Required Qualifications
    Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.
