    DEFINITION
    Receives instruction and training, and gains experience in the performance of a full range of specialized clerical and data entry functions within the Court Services Division of the Sheriff's Department.

    CLASSIFICATION STANDARDS
    Positions allocable to this paired, entry-level Court Records System clerical class receive close administrative and technical supervision from a Supervising Court Records System Clerk, Sheriff. Incumbents receive instruction, training, and experience assisting higher-level clerical staff in the following in order to qualify for promotion to the journey-level class of Court Records System Clerk II: processing a variety of legal documents pertaining to court instructions, court appearances, production of records, payment of monies, surrendering of property, seizure of goods and/or other orders mandated by the Courts of California. Commensurate with the concept of paired classes, incumbents in the Court Records System Clerk I, Sheriff classification is expected to gain the appropriate experience, based on instruction and training, to promote to the journey-level Court Records System Clerk II, Sheriff following the one-year training period.

    Essential Job Functions

    Receives instruction and training, and gains experience in the following activities:

    Types and processes court orders, minute orders, petitions, and other legal documents.

    Searches for and abstracts technical data and explanations of laws, policies and procedures.

    Checks non-routine applications, collects variable fees, etc., and refers only unusual inquiries to immediate supervisor.

    Checks documents for completeness, accuracy, and compliance with legal and other requirements.

    Acts as receptionist or counter-clerk answering routine questions and clarifies information for the public, in person or by telephone.

    Opens, sorts, initials, time stamps, and routes incoming mail.

    Operates office machines/equipment such as computer that are incidental to the performance of other duties which include the typing of letters, reports, memoranda, and a variety of other documents from handwritten or other copy, and/or verbal instructions.

    Searches records and files for data where judgment and discrimination are required in selecting or abstracting materials.

    Inputs and retrieves information from a database.

    Requirements

    MINIMUM REQUIREMENTS

    OPTION A: Two years of specialized office clerical experience in County service at the level of County of Los Angeles class of Intermediate Clerk or Intermediate Typist Clerk *.

    OPTION B: Three years of office clerical experience.

    TYPEWRITING SKILL
    Ability to type at the rate of 30 net words per minute.

    LICENSE
    A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

    PHYSICAL CLASS
    Physical Class II - Light: This class includes administrative and clerical positions requiring light physical effort that may include occasional lifting to a 10-pound limit and some bending, stooping, or squatting. Considerable ambulation may be involved.

    SPECIAL REQUIREMENT INFORMATION
    *Experience at the level of County of Los Angeles' class of Intermediate Clerk is defined as performing specialized clerical duties. Experience at the level of County of Los Angeles' class of Intermediate Typist Clerk is defined as performing skilled typing work as well as performing specialized clerical duties.     SUPPLEMENTAL QUESTIONNAIRE
    As part of this application process, applicants will be required to complete a supplemental questionnaire. The questionnaire contains a pre-investigative questionnaire which will be utilized as part of the background investigation process to ensure applicants meet the standards set forth by the Los Angeles County Sheriff's Department. Applicants who fail the pre-investigative questionnaire will be disqualified and will have to wait twelve (12) months from the date of the disqualification in order to reapply.

    EXAMINATION CONTENT
    This examination will consist of two (2) parts:

    PART I
    A computerized multiple choice test covering filing, checking for errors, vocabulary, spelling, reading comprehension, and written expression weighted 100%.

    TRANSFER OF TEST COMPONENTS
    • Applicants that have taken any identical written test with the Sheriff's Department within the last 12 months will have their written test responses automatically transferred to this examination.
    • This examination contains test components that may be used in the future for new examinations and your test responses may be transferred.
    ONLY CANDIDATES WHO ACHIEVE A PASSING SCORE OF 70% OR HIGHER ON PART I WILL PROCEED TO PART II.

    PART II

    A qualifying online typing assessment of 30 net words per minute will be required for candidates who have NOT held a typing position in the service of the County of Los Angeles. Applicants do not need to appear at a Los Angeles County Sheriff's Department exam facility to participate in this assessment. Applicants may complete the online assessment on a personal device during a specified examination period.

    Applicants who do not pass their online typing assessment will not be allowed an additional opportunity. Applicants who fail to complete the online typing assessment will be automatically disqualified from participation in this examination.

    The following candidates are NOT required to take the County typing performance test:
    • Those candidates who currently hold or have held a typing position with the requisite words per minute in the service of the County of Los Angeles.
    • Those candidates who have taken and passed a Los Angeles County typing performance test at the required words per minute administered by a County Department. Applicants must attach a copy of their typing certificate to their application at the time of filing or within seven (7) calendar days from the date of application filing. Please submit documentation to sheriffexamsunit@lasd.org and indicate your name, the exam title and exam number.
    CANDIDATES MUST ACHIEVE A PASSING SCORE OF 70% OR HIGHER ON THE EXAMINATION IN ORDER TO BE PLACED ON THE ELIGIBLE REGISTER.

    THE COMPUTERIZED MULTIPLE-CHOICE TEST AND PERFORMANCE TYPING TESTS ARE NOT REVIEWABLE BY CANDIDATES PER CIVIL SERVICE RULE 7.19.

    VETERAN'S CREDIT
    If you served in the miliary and were honorably discharged, you may qualify for Veteran’s Credit. To receive this credit, please include a copy of your DD214 Form issued by the branch of service with your application for review.

    ELIGIBILITY INFORMATION
    The names of candidates receiving a passing grade in the examination will be placed on the eligible register in the order of their score group for a period of twelve (12) months following the date of promulgation. Applications will be processed on an as-received basis and promulgated to the eligible register accordingly.

    NO PERSON MAY COMPETE IN THIS EXAMINATION MORE THAN ONCE EVERY TWELVE (12) MONTHS.

    SPECIAL INFORMATION



    SUCCESSFUL CANDIDATES MUST COMPLETE A THOROUGH BACKGROUND INVESTIGATION, INCLUDING FINGERPRINT SEARCH.
    Examples of disqualifying factors include: Any felony convictions, job related misdemeanor convictions: certain serious traffic convictions or patterns of traffic violations (3 moving violations in one year; failure to appear; at fault accidents; suspended license; driving under the influence); poor credit history; poor employment history; substance abuse; anyone on probation.

    ZERO TOLERANCE POLICY IF HIRED
    The Los Angeles County Sheriff's Department (Department) has a "zero tolerance" policy for its employees for the following:
    • use of narcotics, controlled substances, and/or prescription drugs without a prescription.
    Any employee found in violation of this policy will be subject to discharge.
