Position Information: The purpose of this
Contract Management Specialist I position is to assist with contract and grant compliance and performing purchasing activities for the unit as well as department customers. This position is a member of the Park and Recreation Department’s ( PARD ) Contract Management team.
Other relevant duties include:
- Perform spot buying by placing orders of existing contracts and soliciting and awarding informal quotes.
- Prepare for bid processes by compiling contract requirements from designated departmental liaisons, recommending commodities of scopes of work to include on contract bids, and preparing purchasing documents for bid.
- Monitor assigned contracts or grants to ensure effectiveness by reviewing contract dollar balance and time remaining, recommending extension of an existing contract or preparing for new bid process.
- Monitor contractor and subcontractor performance for compliance to contract terms and conditions by reviewing contractor performance, compiling contractor performance evaluation information, resolving minor contract issues and reporting major contract problems to supervisor.

Must be physically and mentally able to communicate, respond and work with participant’s needs and safety issues.

Pay Range
$24.08 to $27.93 per hour.

Work/Location Schedule Notes: - Monday - Friday, 8:00 a.m. - 5:00 p.m.
- May be required to work during special events, evenings, weekends & holidays.
- Work schedule & location is subject to change based on department needs & programs.
- Telework opportunities may be available.
- May be required to work during City emergencies such as extreme weather events.

Duties, Functions and Responsibilities

Maintains contract database(s) spreadsheets and/or other contract management software tools for assigned contracts. Monitors assigned contracts or grants to ensure effectiveness by reviewing contract’s dollar balance and time remaining, recommending extension of an existing contract or preparing for new bid process. Monitors contractor and subcontractor performance for compliance to contract terms and conditions by reviewing contractor performance, compiling contractor performance evaluation information, resolving minor contract issues and reporting major contract problems to supervisor. Researches contract information such as contractor performance, supply chain effectiveness, contract expenditures, purchase history, etc. and prepares reports for management, team members and customers.
