    OVERVIEW
    The City of Kingman is located in Mohave County approximately 100 miles southeast of Las Vegas and 195 miles northwest of Phoenix nestled between the beautiful Cerbat and Hualapai Mountain Ranges along historic Route 66.     GENERAL DESCRIPTION OF POSITION
    Performs professional and administrative advanced journey level work involved in establishing and maintaining positive working relationships with members of the business to promote employer utilization of services and administration programs available through the Office of Tourism. Work involves strengthening partnerships with local Tourism Industry partners, developing an increased awareness of the resources available through the Office of Tourism and Economic Development Department, and managing social media campaigns for the Office of Tourism.

    SUPERVISION RECEIVED
    Work is performed under direction of a higher level of authority such as the Tourism Services Manager. The employee is expected to exercise initiative and independent judgment in planning, coordinating and monitoring program activities in accordance and in ensuring compliance with established policies, procedures, regulations and requirements and in developing and sustaining positive working relationships.

    SUPERVISION EXERCISED
    Exercises general supervision over tourism and visitor center full-time / part-time employees and volunteers as assigned.

    Minimum Qualifications/Special Requirements

    MINIMUM QUALIFICATIONS/SPECIAL REQUIREMENTS

    EDUCATION AND EXPERIENCE:

    • Completion of Bachelor’s Degree Business, Public Administration, Economic Development, Marketing, Recreation, or other closely related field desired AND Two (2) or more years of progressively responsible related experience providing complex administrative support and management assistance, preferably working in a similar role and/or field.
    • OR High School Diploma or GED, supplemented with some related college level training AND Six (6) years of progressively responsible related experience providing complex administrative support and management assistance, preferably working in a similar role and department.
    • OR Any combination of experience and training which demonstrates the knowledge and experience to perform the work.

    SPECIAL REQUIREMENTS
    • Valid Arizona Driver’s License or ability to obtain within six (6) months of hire.
    • Must be available to occasionally attend after hours meetings.
    • Must be available to occasionally participate in coordination of events on weekends.


    Essential Functions

    ESSENTIAL DUTIES & RESPONSIBILITIES

    • Assists Tourism Services Manager with furthering the Tourism Division’s innovation and expansion.
    • Coordinates social media marketing and assists Tourism Services Manager with public relations efforts and marketing campaigns.
    • Interprets City ordinances relating to department services and recommends procedures to improve efficiency and effectiveness of operations.
    • Performs a variety of office related functions, correspondence, presentation materials, brochures, printing materials, answering phones and responding to inquiries from contractors, developers, property owners, staff, and the general public. Prepares weekly community event calendar updates to city employees and various entities within Kingman.
    • Maintains budget files; tracks and reconciles departmental budget accounts, expenditures, transactions, financial statements and reports; investigates discrepancies; estimates expenditures; updates management on budget problems, policies and procedures.
    • Drafts, formats and prepares a variety of documents, including custom financial reports, charts, contracts and manuals and assists in the preparation of quarterly and/or annual reports.
    • Researches and gathers information and data from multiple sources for departmental projects; compiles accurate and current information specifying opportunities for improvement and enhancement; and solicits feedback and ideas from employers.
    • Monitors contracts and agreements for outside services to ensure compliance and proper billing.
    • Performs a variety of administrative duties, such as planning, scheduling and coordinating various events. Takes and records minutes at meetings, prepares meeting agendas, possesses knowledge in Arizona open meeting law and applies to meetings, follows up on committee assignments; responds to requests for information, processes incoming and outgoing mail, and drafts letters and memoranda. Gathers information and data for department staff and assists with interpretation of such.
    • Creates, updates, and maintains databases specific to a program, division or department.
    • Attends meetings, conferences and some community functions as requested for Kingman Office of Tourism; some may require travel. Contributes ideas and engages in dialogue concerning critical issues. Participates in various event committees and manages with social media event promotions.
    • Communicates and acts in a professional manner with the public, co-workers, and work contacts. Receives emails from GoKingman website, including requests for email subscription, requests for brochure and questions that visitors have, and sends them to the appropriate individual.
    • Manages Kingman Office of Tourism online profiles including Google My Business, Trip Advisor, Yelp and others as assigned.
    • Manages social media accounts, posting calendars, and paid advertising campaigns for Economic Development & Tourism. Managed accounts may include, but are not limited to, Facebook, Instagram, Snapchat, Pinterest, Twitter, and Weibo.
    • Utilizes available resources to mine user generated content and obtain permissions and redistribution rights. Apply user generated content to print, digital, and other marketing avenues and campaigns as appropriate.
    • Monitors the current situation and trends in the local, state, and national travel/tourism social media environment. Reports trends, concerns, and other findings to Economic Development & Tourism team. Coordinates social media posts to keep in sync with Arizona Office of Tourism, regional, and local partners.
    • Manages Tourism website community event calendar which includes reviewing and approving on-line event submissions, researching available resources for event information, contacting and communicating with event coordinators to ensure accurate event information, formatting and publishing events, and creating an event forecast for weekly distribution.
    • Manages Tourism website blog.
    • Has ability to maintain and manage Tourism Services Manager duties if Manager is out of office for an extended period of time

    WORK CONTACTS
    Regular contact with department staff, participants, associate personnel, other city departments, Federal, State, and local agencies, other outside agencies, members of the business community, and the general public to provide explanation of Tourism and Economic Development program services, facilitate partnership-building, respond to inquiries, coordinate activities, and promote programs and partnerships.

    • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.
    • Ability to prepare, organize and maintain Economic Development and Tourism office data, reports and systems.
    • Effectively communicate, orally and in writing, to employees, consultants, other governmental agency representatives, City officials and the general public.
    • Establish and maintain effective and accurate records and filing systems; maintain effective and accurate accounting procedures; gather, research and interpret data.
    • Write memoranda, correspondence, reports and produce written documents with clearly organized thoughts using proper English sentence construction, punctuation, and grammar; interpret rules, regulations, and policies and make decisions based upon them.
    • Maintain confidentiality of information.
    • Perform basic mathematical calculations.
