    Major Duties

    Under general supervision of the Assistant Registrar of Undergraduate Degree Services (UDS), the Undergraduate Degree Services Representative performs a broad range of multi-faceted duties independently, which enable the UDS office to run smoothly. The incumbent is responsible for determining if a graduation application is complete and/or entered correctly into SOLAR, and adds into the OnBase document imaging system along with the department evaluation, and miscellaneous other documents pertaining to a student’s graduation status.
    • Assists students in completing missing information critical for their graduation application and verifies that graduation applications information SOLAR is matched to the appropriate program/plan and also verifies major/minor catalog years and adjusts in SOLAR if necessary.
    • Receives and distributes electronic course substitution/waivers, graduation date change forms, graduation reinstatement forms, change of major/minor forms and other documents pertaining to graduation to the appropriate Graduation Advisors and verifies eligibility for honors candidates.
    • Composes student correspondence including degree candidate, degree verification, and refund letters.
    • Performs other duties as assigned.

    Qualifications
    • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
    • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.


    Knowledge, Skills, & Abilities
    • Thorough knowledge of correct English grammar, spelling, and punctuation; office methods, procedures, and practices; and university infrastructure, policies, and procedures. Working knowledge of budget policies and procedures.
    • Ability and specialized skills to: coordinate many different administrative duties; interpret and apply a variety of complex policies and procedures; set deadlines, priorities, and complete projects accordingly; draft and prepare memoranda and correspondence; keep moderately complex records and files; screen mail, telephone calls, and visitors.
    • Ability to maintain confidential files; lead or oversee the work of others; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; and read and write a level appropriate to the duties of the position.
    • Must have strong interpersonal skills and the ability to adequately comprehend needs and convey information through both oral and written communication. Establish and maintain professional relationships with coworkers, faculty, staff, students, and the campus community.


    Pay, Benefits, & Work Schedule
    • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver and more.
    • Classification: Admin Support Coordinator / 1035 / grade 1
    • The anticipated HIRING RATE is $3864 month. The salary range for this classification is: $3864 - $6072 per month.
    • HOURS: Full Time; 40 hours per week; Monday through Friday.
    • This is a Regular position with a one-year probationary period.
