Position DescriptionCoordinate constituent concerns, inquiries and complaints and document them in our constituent tracking system. Investigate, delegate, and resolve those constituent concerns, seeking out information from City departments when necessary. Provide effective and timely follow-up to constituent inquires with empathy and respect.Manage the Council Vice President’s daily and long-range calendar, prioritizing meetings and appointments accordingly. Organize small and large group meetings, which includes preparing materials necessary to track engagement such as sign-in sheets, agendas, and background information. Manage communications: draft letters and correspondence with City staff, constituents, and members of the public. Draft communications for social media posts and newsletter updates. Coordinate the filing system for the office; create and maintain information that should be recorded in council office one-drive. Act as the first point of contact in the office by welcoming guests who come to City Hall for meetings; talk to constituents who stop by; take messages and pass information to the Senior Policy Aide as needed. Respond to all voicemails, calls and emails that the office receives. Act as a liaison to other City departments, and external agencies. Attend meetings on behalf of the Council Vice President as requested, effectively communicate her message, and respond to relevant inquires. Manage aspects of community outreach for events, stakeholder meetings, and office hours. Organize special events related to specific project areas; create and manage special stakeholder lists and protocols for engagements. Prepare flyers and communication plans for getting people to events. Staff evening events as requested by the Senior Policy Aide. Prepare the Council Vice President for constituent, stakeholder, and community engagement meetings. Other duties as assigned by the Senior Policy Aide or Council Vice President.
