    Education and Experience : High School Diploma, GED or higher and four (4) years para-professional office administrative experience.

    Licenses and Certificates : Texas Class "C" Driver's License or equivalent from another state.

    General Purpose

    Under direction, perform complex paraprofessional administrative duties associated with implementing strategic initiatives, coordinating special events, and support functions for projects or service programs designated to support strategic initiative development or management.

    Typical Duties

    Provide paraprofessional administrative support and perform office functions. Involves: Participate in developing and implementing standardized long and short-range strategic and planning initiatives, analyze studies and surveys. Conduct research to resolve discrepancies or gather information. Review a variety of reports, files and records to verify information, resolve errors, and gather information. Utilize a personal computer to create memoranda, agenda items and other correspondence. Manipulate, and retrieve files and/or information from databases and create reports.

    Gather and compile pertinent information for meetings and presentations. Involves: Post and draft agendas and take minutes. Coordinate and track various special projects with other city departments, cross-functional teams, or outside agencies. Provides the public with general information, explain processes and procedures, answer questions and resolve a variety of problems within a defined scope. Maintain filing systems and provide input for improvements to accommodate needs of assigned projects or programs. Ensure proper distribution of communications, flag urgent information and communicate priorities to the appropriate person while maintaining confidentiality. Assume duties and responsibilities of other co-workers to maintain continuity of operations.

    Examine and analyze data from databases to drive optimization and improvement of services provided by the city and related strategic initiatives. Involves: Develop and maintain databases to facilitate internal and external reporting. Develop and produce ad-hoc reports, dashboards and analysis to assist in leadership decision making. Perform related incidental duties contributing to the unit or team objectives as required.

    Plan, organize and oversee special events and programs. Involves: Confer with other department staff before, during and after planning event. Organize, schedule, develop and implement all aspects of pre-event and event day coordination. Prepare documentation for each event and submit to supervisor for approval. Prepare materials and present to appropriate department staff. Arrange for staff, equipment or services such as catering, floral arrangements, security or entertainment necessary to execute events. Monitor assigned contracted services for events. Purchase all necessary supplies to set up or arrange for set up of events. Provide and coordinate equipment operation and setup, refreshments and displays for various types of gatherings. Develop budget spreadsheets and financial schedules for events. Monitor events in progress and resolve problems that arise.

    Supervise assigned staff. Involves: Schedule, assign, instruct, guide and check work. Appraise employee performance. Provide for training and development. Enforce personnel rules and regulations, and work behavior standards firmly and impartially. Counsel, motivate and maintain harmony. Interview applicants.
