Duties and Responsibilities: Under general supervision, the Human Resources Assistant provides administrative support. This includes administrative duties such as maintaining employee files, copying, and entering data in the HR system. The HR Assistant will also be providing support during the hiring process by requesting backgrounds and live scans if required and initiating sign-ins. This is a temporary position whose end date may be subject to change.
- Handles the HR “front desk” which includes sign in process and answering general HR questions.
- Provides administrative support for the HR department which entails filing, typing, copying and mailing.
- Create/maintain employee and recruitment files.
- Help update the benefits, sign in and rehire packet at the end of each year.
- Enter employee data into the Human Resources system.
- Responds to employment verifications and other general inquires.
- Runs and maintains regular HR reports such as the New Hire report for New Hire Notices, and work Authorization spreadsheets.
- Handles the tracking and follow up for missing paperwork and work permits.
- Requesting background and livescan requests while updating tracker daily.
- Assists HR department with benefit orientations, employee events, form processing, parking permits administration, IT requests, Summer Programs and scheduling of interviews and meetings.
- Maintains department supplies inventory by checking stock to determine invitatory level; anticipating needed supplies; placing and expediating orders for supplies; verifying receipt of supplies
- Performs other duties as assigned.
Qualifications: Equivalent to two years of general office clerical work that has provided the applicant with the knowledge and abilities listed. Human Resources experience preferred but not required. Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two years of the required experience on a year-for-year basis.
