    Job Classification: SSP IV

    Anticipated Hiring Amount: $6,019 - $7,335 per month

    Work Hours: Monday - Friday 8:00 am-5:00 pm

    THE DEPARTMENT

    Outreach, Recruitment & Educational Partnerships (OREP) is responsible for outreach and recruitment of prospective domestic undergraduate students and plays a key role in enrollment planning and reporting. OREP is charged with promoting the image of the University, its programs, and uniqueness; attracting and recruiting a diverse and high-achieving pool of applicants; developing relationships and collaborations with campus external and internal constituents; and providing timely, accurate, and comprehensive services to students and campus through point of inquiry and enrollment. OREP is responsible for compliance with federal, state, CSU system and University requirements and the timely and accurate dissemination of information to students, parents, campus constituents, the CSU Chancellor's Office, and the external community. OREP provides dedicated quality outreach and recruitment programs and strategic communication to prospective students, schools, and community organizations, and the delivery of student services that support recruitment, college readiness, and persistence. Programs include domestic undergraduate outreach, out-of-state recruitment, and campus tour programs. OREP reports to the Presidential Associate for Community Partnerships and Expanding Access, Office of the President.

    DUTIES AND RESPONSIBILITIES

    Counseling and Advising Services:
    • Design develops, implements, and evaluates specific strategies to provide timely and accurate information about Cal Poly Pomona, the admissions process, and the California State University system to students, parents, and other external/internal stakeholders.
    • Provide counseling services at community colleges and high schools, conducting pre-admissions advising.
    • Inform stakeholders about admissions eligibility requirements and selection criteria.
    • Provide information to prospective undergraduate and graduate students.
    • Assist students with multifaceted concerns utilizing tact and sensitivity regarding personal issues such as residency status, disabilities, returning students under academic or administrative disqualification, and financial hardship.
    • Provide students with source and contact information for various departments and services on campus depending upon individual circumstances and specified needs.
    • Develop and conduct workshops for prospective students and school counselors in the navigation and uses of ASSIST and the transfer planner.
    • Advise students regarding standardized testing.
    • Conduct workshops in the areas of application, transfer, and financial aid.
    • Maintain current knowledge of student services professional practices, counseling theories, enrollment management strategies, enrollment trends for the University and nationally, and admissions policies and procedures from Title 5 of the California Code of Regulations and CSU Chancellor's Office.
    • Assist in developing external/internal campus programs/projects that support the University's mission of academic excellence, educational equity, and diversity.
    • Maintain familiarity with current Admissions and Outreach programs, services, policies, procedures, and future directives.
    • Observe and demonstrate customer service standards and practices at all times.

    Recruitment:
    • Provides leadership and support strategies for the development and execution of high school and transfer student out-of- state recruitment, a comprehensive strategic plan, work cycle, and timeline for student recruiting.
    • Alongside the Director, develops key performance indicators for all outreach and recruitment activities.
    • Prepares and utilizes outreach reports detailing application, admit, and enrollment trends, and analyzes prospective student inquiries to determine yield strategies.
    • Works with the Director to execute the strategic direction of the department and examines, studies, and researches enrollment trends.
    • Develops and supports strategies and processes that utilize both traditional and innovative sources to address all recruitment efforts.
    • Serves as a point of contact with out-of-state schools whose students are potential applicants to Cal Poly Pomona.
    • Supports the development of recruiting materials, promotional items, and related branding to broaden the exposure of Cal Poly Pomona.
    • Utilizes the Slate platform for all recruitment activity.
    • Conducts motivational and informational presentations for internal/external constituencies regarding academic, cultural, and student assistance programs available on campus.
    • Attends and represents Cal Poly Pomona at conferences and programs.
    • Represents the University at community organization events, high school college night fairs, and community college transfer fairs; educates prospective students on how to research admission requirements and articulation agreements listed on ASSIST and use the transfer planner.
    • Serves as the point of contact for all programs assigned by the Director.
    • Collaborates with the Director and builds partnerships with appropriate campus individuals, committees, services, and programs to facilitate the enrollment of students from assigned special programs and populations.

    Department and Lead Responsibilities:
    • Responsible for facilitating outreach counselor meetings; develops agendas and topics to address program timelines and project collaboration.
    • Serves as the lead for all of the outreach counselors.
    • Assigns work to counselors; determines work priorities, assesses workflow based on counselor capacity, and collaborates on alternative approaches to unusual situations.
    • Develops consensus among peers, shares project plans to foster team cohesiveness and troubleshoots issues as they arise.
    • Supports team building among professional staff and student assistants.
    • Develops and participates in all assigned OREP, campus staff training, and meetings.
    • Leads and participates in the planning and implementation of all major staff events such as Preview Day, Bronco Bound Open House, Black Student Welcome, Everyday is Veterans Day, Admitted Transfer Celebration, Out-of-State Receptions, and other yield events to ensure full staff workload sharing to promote the University.
    • Adheres to established CSU policies and procedures regarding computer data, records retention, accounting, and human resources.
    • Strategizes and collaborates in department planning conversations that advise the Director on long- and short-range planning and goal setting, policy and process improvement, coordination of services and programs, and campus communication.
    • Prepares and submits to the Director quarterly or on-demand reports detailing application, admit and enrollment trends as well as service levels to assigned special populations, programs, and assigned schools.
    • Performs administrative and programmatic duties as assigned, including working extended hours, weekends, and evenings in support of campus, divisional, and department programs and services.
    • Trains new outreach counselors and student staff regarding best practices, campus resources, and outreach department practices.
    • In collaboration with the Director, serves as a partner in developing a comprehensive data-driven recruitment plan for all student populations.
    • Provides assessment training opportunities for staff and ensures it contains learning outcomes, goals, objectives, and key performance indicators.
    • Analyzes data to assist the Director in providing reports to key campus constituencies.

    OREP:
    • Participates in all OREP and divisional staff development, staff meetings, and major staff events to promote the University.
    • Conducts testing of systems utilized by OREP (e.g., Cal State Apply application, Slate platform, etc.).
    • Adheres to laws and policies established regarding computer data, records, accounting, and personnel by the California State University, Cal Poly Pomona, and OREP to demonstrate sensitivity and appropriate conduct as a University employee.
    • Works extended hours, weekends, and evenings to support OREP programs/services.
    • Ensures compliance and maintains the integrity of prospective student, applicant, and student records; staff members are strictly prohibited from making unauthorized changes without explicit HEERA permission.
    • Other duties as assigned.


    QUALIFICATIONS
    • Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.
    • Valid Drivers Licenses in State Required.
    • The following knowledge and abilities as well as those listed at lower levels in the Student Services Professional series are required for appointment to this classification.
    • Thorough knowledge of the policies, procedures, and practices of the program area to which assigned or the ability to quickly acquire such knowledge. General knowledge of the policies, practices, and activities of Student Services programs outside the program to which immediately assigned; general knowledge of the principles, problems, and methods of public administration, including organizational, personnel, and fiscal management; general knowledge of advanced statistical and research methods.
    • Ability to carry out very complex assignments without detailed instructions; advise students individually or in groups on varied and complex matters; determine the appropriate course of action and proper techniques to utilize while engaged with individuals and groups in personal interactions of a sensitive nature; reason logically and analyze and solve organizational and operating problems of one or several program areas; plan, coordinate and initiate actions necessary to implement administrative or group decisions or recommendations; analyze and define complex organizational, policy or procedural problems, collect and evaluate data, draw valid conclusions and project consequences of various alternative courses of action; understand the roles and responsibilities of others and to gauge relationships accordingly by taking into account the variety of the interrelationships, motivations and goals of the members of the organization served; and establish and maintain effective, cooperative and harmonious working relationships in circumstances which involve the denial of requests or the necessity to persuade others to accept a different point of view.
    • Possession of these knowledge and abilities is typically demonstrated through the equivalent of four years of progressively responsible professional student services work experience, which includes experience in advising students individually and in groups and in the analysis and resolution of complex student services problems. A master’s degree in Counseling, Clinical Psychology, Social Work or a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance, or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal, or career counseling.


    Preferred Qualifications
    • Must have excellent written and oral communication skills; outstanding interpersonal and social skills in dealing with a diversity of people; the ability to work independently; to use good judgment, initiative, and resourcefulness in planning work assignments; attention to detail and follow-through.
    • Must have the ability to present and articulate complex requirements and policies concerning enrollment services; be able to respond to in-person, telephone, and electronic inquiries.
    • Must have proficiency with computers, the Internet, word processing, and simple databases.
    • Specialized Skills Desirable: experience and leading student workers.
    • Also preferred: bilingual in any one of the following languages: Spanish, Chinese Mandarin, Vietnamese, Korean, Hmong, Sign Language, or Tagalog.
    • As assigned, able to work extended hours, evenings, Saturdays, and Sundays, in support of departmental or campus programs and events.

    CSU Classification

    This position is part of the APC bargaining unit, the CSU Classification Standards for this position are located on the following site, https://www.calstate.edu/csu-system/careers/compensation/Pages/Classification-Standards.aspx . The CSU Salary Schedule is located on the following site: https://www.calstate.edu/csu-system/careers/compensation/Pages/salary-schedule-documents.aspx . The classification salary range for this position according to the respective skill level is minimum $6,019 and maximum $8,585 per month.
