    Role

    Under minimal supervision, performs work of moderate difficulty in maintaining the operation of the Law Library and Self-Service Center in the Superior Court.

    Major Duties, Responsibilities

    • Assists self-represented litigants by providing appropriate legal information in an effective manner without giving legal advice; assists the public, attorneys, personnel from other departments and divisions, personnel from other courts and agencies in the use of library materials and equipment, court software, written and online legal reference materials. Collects monies for copies and packet sales, reconciles, and deposits with Clerk of Court.
    • Conducts legal research and Shepardize (cases and authority history) for Judges; locates materials for inmates.
    • Orders, receives, and distributes law library materials; maintains collections in Judges' Chambers, courtrooms, and offices of other court personnel.
    • Shelves and files books and other reference materials. Maintains inventory list of available materials; meets or corresponds with publishers and sales representatives; orders supplies; compiles and analyzes data and makes recommendations on ways to provide resources in an efficient manner, such as acquiring electronic materials to supplement or replace books; creates administrative reports to document use of the Law Library and Self-Help Center and sale of packets.
    • Performs other job-related duties as assigned.


    Minimum Qualifications

    Education:
    Bachelor’s Degree in Business, Public Policy, Law, Library Science or closely related field.

    Experience:
    A minimum of two (2) years of relevant experience in administrative support functions in a legal or similar judicial process environment.

    An equivalent combination of directly related work experience and education may substitute for the degree requirement on a year-per-year basis.

    Additional Requirements:
    Must possess a valid Arizona driver’s license.
    Must complete annual training as required by the Committee on Judicial Education and Training (COJET).

    Knowledge of:
    • Basic legal terminology in order to provide legal information in an appropriate manner without giving legal advice.
    • Business English, spelling, grammar, punctuation, and composition.
    • Clerical office practices and procedures.
    • Research techniques and report writing.
    • Current Microsoft Office software.
    • Filing and recordkeeping.

    Skill in:
    • Utilizing both commonly used and specialized software applications.
    • Communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
    • Establishing and maintaining effective working relationships with employees, other agencies, and the public.
    • Organization and adherence to detail.

    Ability to:
    • Prioritize, schedule, and organize work to meet established deadlines.
    • Work under pressure in a highly dynamic work environment with changing demands and priorities.
    • Provide legal information in an appropriate manner without giving legal advice.
    • Demonstrate familiarity with the types and contents of self-service packets being offered on-line or for sale.
    • Work effectively under pressure in an environment that has changing priorities and a demanding clientele.
    • Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, county officials, and the public.
    • Keep management informed of key operating issues affecting the department.
    • Remain current in knowledge required to perform assigned duties.
    • Handle confidential matters and always maintain discretion.
    • Act with courtesy, tact, and diplomacy.

    Work Environment:
    The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated.

    Physical Requirements:
    Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effective in-person and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
