      • (Classified as: Administrative Support Assistant Non-Exempt II 11/12.)

        Full-time position available on or after January 6, 2025 for Student Health Center.

        Under general supervision the Administrative Assistant will provide support within the Student Health Center. The Student Health Center is a fully accredited outpatient clinic that provides primary medical care, health education, wellness promotion, and disease prevention to students at Stanislaus State. This role involves working with a diverse population, assisting them in navigating healthcare with dignity and understanding.

        Administrative Support Assistants are primarily responsible for providing varying levels of general office, clerical, and secretarial support for students, faculty, and staff. The full range of work activities includes processing mail, maintaining files and records, scheduling and arranging appointments, providing budget support, processing of documents and records, gathering data, preparing standard reports, and interacting with and solving problems for work unit customers and staff. May also have coordination and/or lead work direction responsibilities.

        May be required to use a variety of office support technology and systems including: one or more word processing and spreadsheet packages; use of a mainframe computer to enter data and generate reports; maintenance of a workstation or PC-based database; and use of electronic and voice mail.
      • Job Duties
      • Duties include but are not limited to:
        • Coordinate office activities and operations specific to the Student Health Center.
        • Organize and arrange special events and related activities, including but not limited to social media account management.
        • Arrange and participate in outreach, meetings and events.
        • Make travel and other arrangements.
        • Perform standard clerical and secretarial work.
        • Process standard and electronic mail.
        • Prepare and compose correspondence, reports, and other documents.
        • Create and maintain standard and electronic records and files and recordkeeping systems.
        • Order and maintain supplies.
        • Troubleshoot office technology problems and systems.
        • Perform other general office support and maintenance activities.
        • Maintain, gather, and analyze data and information for various purposes.
        • Track, monitor, coordinate, and/or compile department activities, programs, or events, budgets, and financial data.
        • Compile and prepare various reports.
        • Use and maintain office support technology and systems such as word processing, desktop publishing, spreadsheets, and databases to produce results.
        • Research, troubleshoot, and resolve health-related issues for students and staff; develop schedules for health services and appointments.
        • Interact with a variety of campus and community constituents.
        • Work with students, faculty, and staff to assist them or resolve problems.
        • Network to build campus relationships to expedite work and projects.
        • Coordinate outreach, work and projects.
        • Serve as a primary contact and/or resource to outside parties, such as vendors or governmental agencies, and/or to top-level administrators.
        • Respond to and/or direct student inquiries related to health services and requirements.
        • Provide administrative support to staff.
        • Collaborate in program development and planning.
        • Coordinate health-related projects such as clinic accreditation and grant applications.
        • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.

        • At the direction of appropriate administrator, may provide support to other areas/departments withing functional area/departments as needed.

      • Minimum Qualifications
      • Education and Experience : Completion of a high school program or its equivalent and some experience in an office environment.
      • Preferred Qualifications
        • Two (2) year of related office work experience
        • One (1) year of work experience in Student/Health Wellness Center, or related area.
        • Bachelor’s degree in business administration, Public Administration or other related degrees.
        • Prior experience with coordinating processes and procedures or related field.
        • Prior experience in a CSU or in another higher education setting.
        • Prior experience with patient scheduling.
        • Prior experience with electronic medical records, Peoplesoft or related software.
      • Knowledge, Skills, Abilities
        • Experience to be proficient in performing most or all work assignments.
        • General working knowledge of applicable university infrastructure, policies, and procedures
        • Thorough knowledge of office methods, procedures, and practices.
        • Ability to use standard office equipment. Typing and keyboard skills.
        • Fluency in using standard word processing and related computer software packages.
        • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
        • Thorough knowledge of English grammar, punctuation, and spelling.
        • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
        • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
        • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
        • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
        • Demonstrated competence in effectively presenting standard information in writing.
        • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
      • Special Conditions
        • May be required to work after-hours, evenings, or weekends.
        • Travel between Turlock and Stockton Campuses.
      • License or Certifications
        • Valid California Driver’s License

      • Salary Range
      • Anticipated salary will be $3,373 - $3,710 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $3,373 - $4,966 per month)
