    General Description and Classification Standards

    Responsible for assisting with operating the Department of Atlanta Information Management (AIM)’s Office of the Chief of Staff (COS).

    Duties at this level include but are not limited to assisting the department’s COS with planning and executing professional tasks in the areas of communication, continuous improvement, diversity, equity, and inclusion, employee experience, training and organizational development, performance management, human resources, workforce planning, and the Office of the Chief Information Officer (OCIO); supervising interns; representing the department by attending various meetings and programs that require presentation for the department; and acting as liaison for various occasions.

    This is a professional-level role capable of carrying out most assignments typical of the profession with limited guidance or review.

    Supervision Received

    Works under general supervision and is evaluated based on results obtained. Works independently and is responsible for assigned functions, programs, and teams. Maintains confidentiality as required and as appropriate in a professional setting.

    Essential Duties & Responsibilities

    These are typical responsibilities for this position and should not be construed as exclusive or all-inclusive. May perform other duties as assigned.

    • Works with the department’s COS to interpret and devise plans to achieve AIM’s overarching mission, strategic goals, and key objectives.

    • Assists with implementing AIM’s overarching mission, strategic goals, and key objectives.

    • Measures and tracks operational performance and organizational goals.

    • Analyzes existing operational processes and recommends improvements for optimal effectiveness.

    • Develops and drafts operational procedures and processes for executive review and implementation.

    • Plans, assigns, coordinates, and reviews the work of assigned interns in carrying out activities and overall administrative functions and day-to-day operations relating to the department and OCIO.

    • Supervises and evaluates assigned employees, handling all employee concerns, counseling/coaching, disciplining employees when necessary, and completing employee performance appraisals.

    • Delegates authority and assigns responsibilities to assigned interns.

    • Analyzes, identifies, tracks, and monitors staff skill levels and works with department leadership to develop staff upskilling strategies and plans for department leadership to review and implement.

    • Facilitates and participates in interviews.

    • Interacts with vendors, contractors, and other entities external to the City to address departmental needs.

    • Analyzes the department for future staffing needs and recommends to the department head and executives to avoid and fill staffing gaps.

    • Provides analysis on best practices for improving processes and services, leading to better efficiency, higher productivity, and superior organization.

    • Provides analysis on best practices and oversees activities that aid in making for a more diverse, equitable, and inclusive environment for the department in coordination with the Mayor’s Office of Equity, Diversity, and Inclusion.

    • Provides guidance and assistance with enhancing the overall employee experience throughout the entire employee journey from arrival to departure, focusing on providing support and maintaining employee satisfaction throughout tenure, in coordination with the Department of Human Resources.

    Knowledge of principles, processes, and procedures for operating an exceptional and efficient information technology organization.

    Skill in overseeing the management of record keeping and documentation.

    Ability to apply general rules and best practices to specific problems to produce sensible solutions; work on own initiative and be proactive in developing and improving the administrative and business functions; plan, coordinate, and facilitate activities, meetings and/or special events; routinely gather, collate, and/or classify data; analyze data utilizing a variety of complex processes; operate equipment using a variety of standardized methods; work with a significant diversity of individuals and/or groups; develop and maintain positive working relationships; provide direction; provide exceptional customer service.

    Skill in communicating effectively with supervisors and other staff members.

    Ability to comprehend and apply regulations and procedures of the department; and ability to perform duties under a moderate degree of stress related to duties that require constant attention to details and tight deadlines.

    Minimum Qualifications - Education and Experience

    Bachelor’s degree in business/public administration or related field.

    Licensures and Certifications

    None.
