About the Position:
The College of Engineering and Computer Science (ECS) is committed to educating engineers and computer scientists who will graduate with state-of-the art knowledge in their chosen field and are ready to embark on careers in industry and government or proceed to acquire advanced degrees in their own or related fields. We seek an exceptional individual to join our team as the ECS Dean's Office, Administrative Support Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
Under general direction, the Administrative Support Coordinator, performs full range of general office tasks, providing clerical and administrative support and customer service to students, faculty, staff, and community members. Supports departments and programs in the College of ECS with full range of main office duties as needed (during absences, illnesses, vacations, or times of high demand). Provides coordination between the ECS Dean’s office, Departments/Programs, and the University campus at large (i.e., Scheduling, Academic Programs, Finance, Physical plant, etc.). Works independently on a majority of the assigned tasks to resolve daily problems using judgment and creative solutions. Performs work on projects with varied complexity. Engages in a variety of tasks that involve interpersonal skills. Duties require knowledge of college and campus policies and procedures. The Administrative Support Coordinator is the front-line receptionist to the College of ECS Dean's Office and performs word processing, composes newsletters and announcements for the College, updates social media, and oversees scheduling of the Dean's Office conference room. Handles inventory and purchases office supplies as needed. Plans, initiates, executes, and coordinates activities and events. Provides support on purchase orders, event planning and advertising, and financial reconciliations for the Centers in the College. Maintains files, processes documents, and records, gathers data, and interacts with and solves problems for work unit customers and staff. Uses customer service and problem-solving skills to respond to customers via email, telephone, and in person. Other duties as assigned.
Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.
