About the Position:
Capital Programs and Facilities Management (CPFM) is committed to planning, developing, and maintaining a safe, sustainable, and high-quality learning and working environment for the campus community. Facilities Management provides oversight of university resources and assets and is responsible for the development of the University’s facilities including land use planning, capital improvement, project development, construction, as well as facilities operations and maintenance including custodial services, landscape services, building trade services, mechanical and electrical, and recycling services. We seek an exceptional individual to join our Service Center team as the Service Center Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
Under the general direction of the Operations Manager for CPFM, or their designee, the Service Center Coordinator preforms a wide range of administrative duties supporting day to day operations in CPFM. The Service Center Coordinator has exemplary customer service, is an inclusive team player, demonstrates organizational skills, and has a positive attitude. They are able to identify issues that need to be escalated and have excellent communication skills to report issues. The Service Center Coordinator serves as a customer service representative in the Service Center, a call center processing all incoming campus requests for facilities maintenance, repairs, minor construction and alteration projects. In a fast-paced environment, works independently while ensuring all inquiries are processed and dispatched. Serves as primary contact for calls, emails and self-service portal inquiries. Provides support and coordination for projects and tasks relating to operational effectiveness. Plans, coordinates and provides direction and training for all staff levels within the department. Other duties as assigned.
Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.
Preferred Qualifications
Experience utilizing a computerized maintenance management system (CMMS), work order, and or data information management system.
License/Certifications
A Valid California Driver's License.
