Position DescriptionTacoma Water is recruiting for an Office Manager to support the Water Superintendent, Deputy Superintendent, and Senior Leadership Team . As the Office Manager, you will lead Tacoma Water's administrative professionals and work closely with the senior leadership team to make sure we are in line to meet our strategic objectives and division goals, resulting in our mission of delivering clean, reliable water essential to quality of life.
Responsibilities include:- Receive and screen communications including calls, correspondence, and email requests and aid using independent judgment to determine those that require priority attention; prioritize, channel, and facilitate communications as needed
- Compose, create, and prepare routine correspondence, memoranda, and statistical reports for signatures
- Type, format, edit, and proofread materials containing confidential and/or sensitive information such as proposals, contracts, grievances, appeal hearing notices, disciplinary actions, and personnel actions
- Interface with internal and external contacts to respond to questions, requests, or concerns by staff or the public and assist with Public Disclosure Requests
- Manage complex calendars, activities and events utilizing independent judgment for prioritization and flexibility to accommodate calendars that frequently change
- Track the Tacoma Public Utilities Board and the City Council and Committee Agenda's and documentation requirements, facilitating Tacoma Water documentation as well as preparing Tacoma Water staff for these meetings
- Lead the clerical/administrative staff throughout Tacoma Water, establishing work quality standards, workflow reliability and performance benchmarks for the group
- Prepare contracts and make purchases to support office functions; process invoices, payments and create purchase orders and entries in Ariba for contracts
- Draft and maintain the administration budget with the assistance of the Water Deputy Superintendent; receive, compile budget information, and review for accuracy
- Assist, as needed, with the administration of the Tacoma Water employee appreciation program (TAP)
Qualifications Minimum Education* High School Diploma or GED/Associate's Degree
Minimum Experience* 6 years including 2 years of prior advanced journey or lead experience
*Equivalency: 1 year of experience = 1 year of education
Desired Qualifications Experience providing support to a senior or executive leader

Direct Deposit: Employees are paid on a bi-weekly schedule by direct deposit.
Salary Increases: Based on satisfactory job performance, the City provides for a regular progression of salary increases for most classifications according to the salary schedule.
Union Affiliation: Many job classifications are covered by union security provisions which require union membership, dues, or payment of equivalent service fees.
