This position is with the Office of Administration Division of Facilities Management, Design, and Construction (OA-FMDC) supporting the Operations Team. What you’ll do: - Prioritize excellent customer service for a wide and diverse network of internal and external stakeholders, including but not limited to internal teams, state agencies, state officials, contractors, and the public.
- Prioritize and execute a variety of clerical, administrative, and office-related tasks.
- Establish and maintain filing and record systems utilizing a variety of software applications such as Microsoft Office suite, Adobe, SharePoint, Smartsheet, shared drives, and others.
- Oversee and ensure the accurate and timely preparation, review, processing, and archiving of a variety of fiscal, personnel, accounting, purchasing, and/or related documents.
- Serve as the liaison for a variety of support related functions including but not limited to helping team members locate resources, find information, submit paperwork, and follow established guidelines and processes.
- Communicating with suppliers, contractors and vendors over phone, email, and verbal conversations for scheduling services and ordering maintenance-related supplies.
- Utilize internal applications to order supplies and equipment, assign and track work orders, complete expense reports, and other duties.
- Operate under general supervision to carry out assigned responsibilities independently within established guidelines and procedures.
- Occasionally travel to other facilities to deliver equipment, supplies, uniforms, and provide assistance in troubleshooting office equipment.
- Assist with special projects and other duties as assigned.
All you need for success: - Prior experience with or knowledge of standards for Joint Commission Accreditation and Certification (Preferred, not required).
- Ability to communicate, collaborate, and operate with integrity in a manner that inspires trust and builds positive rapport with a diverse group of stakeholders and the public.
- Good verbal and written communication and customer service skills.
- Excellent time management, organizational, and planning capabilities.
- Ability to prioritize and execute work independently with minimal supervision.
- Computer software knowledge in Microsoft Word, Excel, and Outlook.
- Six or more months of experience in office support work; and possession of a high school diploma or proof of high school equivalency. (Substitutions may be allowed.)
- Excellent attendance, work ethic, attention to detail, and critical thinking skills.
- Possess and maintain a valid driver’s license from Missouri or from an adjacent state if you reside outside of Missouri.

* This position is in an office environment and job duties may include prolonged periods of seated work at a desk, typing, written and verbal communication, problem solving, and the occasional ability to lift/carry up to 50 pounds. Please note, this position is considered a “Category 2” under the Fair Labor Standards Act (FLSA), meaning the incumbent will be compensated for overtime (hours actually worked over forty hours in a workweek) at the rate of time and one-half.
