    Position Description:

    The Project Assistant works in the Transportation and Public Works Department ( TPW ), Street & Bridge Operations ( SBO ) Proactive Forestry Division. Under direct supervision, this position performs a combination of project and field inspections for QAQC . The successful candidate will be expected to monitor and complete contractor invoicing.

    Additional Information:

    This position is considered “essential” to maintain critical operations and core services, including public health, safety and utility services, in the event of an emergency. This means employees in this position will be required to report to work even in the event of bad weather, natural disaster, or other unforeseen circumstances that necessitate an emergency closure of City operations.

    This position may require a skills assessment. If you are identified as a top candidate, verification of your education, which may include High School graduation or GED , undergraduate and/or graduate degrees, will be required.

    90 Day Provision for Additional Vacancy:

    If the same or an additional vacancy occurs within the Public Works Department in the same job title within 90 days after the start date of the top candidate, the additional position may be offered to another top candidate from the same candidate pool. This may include filling other vacancies with the same job title in other division/work locations within the City of Austin Public Works Department. Decisions on assigned selection may be made at the time of hire based on the business needs of the department.

    Criminal History Background Check:
    The top candidate will be subject to a Criminal Background Investigation prior to hire date. The selected candidate will be subject to a Department of Public Safety ( DPS ) Criminal Background Investigation after hire date with the City of Austin. A successful rating from both Criminal Background Investigation is required for this position. Failure to successfully pass the DPS investigation will result in separation of employment from the City of Austin.

    Video Conferencing Software Technology:

    Austin Transportation and Public Works Department uses the communication platform, Microsoft Teams, to conduct virtual interviews.

    Pay Range
    $29.23 - $36.54

    Hours
    Monday through Friday: 8:00 a.m. to 5:00 p.m.

    Preferred Experience:
    • Experience coordinating multiple activities and projects.
    • Experience working efficiently and effectively in a fast-paced environment while prioritizing and managing numerous concurrent tasks from multiple sources while meeting deadlines.
    • Experience with contract monitoring, invoicing and accounts payable tasks.
    • Software: Office 365, ArcGIS Online, Adobe, Suite Office, Machines/Hardware: PC & Projectors, Office phone, Printer/copier/scanner & plotter
    • Excellent oral and written communication skills.
    • Demonstrated experience in successfully resolving customer conflict or complaints.
    • Ability to work 60-40, with as much as 50% in office
    • Contractor invoicing
    • Survey 123 App to check for quality and completeness as well as real time field inspections for QAQC with photos.
    Duties, Functions and Responsibilities
    Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.


    Assists in planning stage of projects, including the coordination of existing bonds and future bond projects. Assists in planning, scheduling, or coordination of project activities to meet deadlines. Provides assistance in creation of a communication plan to field staff, including Project Managers and Project Coordinators. Creates and maintains project progress monitoring data to track each project. Coordinates status updates for project related matters including providing updates to internal and external customers. Updates and maintains schedule data to ensure project consistency and optimization. Assists in resolution of project issues including any potential risks to team members by providing supporting documentation including policies and procedures. Communicates roles, expectations, and accountabilities to all team members on a regular basis. Advises management of problems, issues, and status of ongoing projects. Provides assistance to ensure established project deadlines and related tasks are completed as assigned.

    City Government
