What You'll Be DoingWake County's Public Health team is currently seeking a dynamic Program Assistant with administrative support and customer service experience in a Public Health, Health Care, Human Services setting that is ready to take their career to the next level!
As the Program Assistant you will have an opportunity to work and report directly to the Wake County Health Director. In your new role you will perform clerical and administrative duties as well as coordinates and acts as a backup for administrative staff reporting to the Health Director’s management team.
The Program Assistant maximizes effectiveness by accomplishing these functions:
- Create and maintain an organized filing system for electronic and hard copy documents and a ssist with managing and gathering documentation for accreditation and other required activities
- Assist the Health Director with problem-solving issues related to administrative, policy/procedure clarifications, vendor selection, technology solutions, and others as assigned. Maintain office supply inventory
- Coordinate and maintain calendar invitations and logistics for all Health Director's meetings, attend meetings and take minutes as needed
- Assure Health Director's correspondence from Executive leadership, urgent requests, upcoming deadlines, prepared for upcoming meetings, prompt to meetings
- Manage and monitor Health Director’s calendar - deconflict meeting times, ensuring information needed to attend meetings is prepared and disseminated
- Assure meeting materials are included in calendar items (agendas, email communications, web links, contact information, directions, etc.)
- Serves as Health Director liaison to internal and external partners
- Coordinate with other administrative staff assigned to Public Health
- Greet guests and customers, answer questions, appropriately direct inquiries
- When cross divisional tasks are assigned, this position will function as team lead in coordinating administrative staff of Health Director’s leadership team to ensure consistent messaging, information gathering and process flow (e.g. PDMS process). As such this position will have delegated authority to establish timelines, deadlines, and assign tasks to support staff. Conflicts related to this function will be resolved at the leadership level

The Basics (Required Education and Experience) - Associate's degree
- One year of job-related experience
- Equivalent education and experience are accepted

Beyond the Basics (Preferred Education and Experience) - Strong preference:Administrative support and customer service experience in a Public Health, Health Care, Human Services or related environment
- Strong preference: Four years or more administrative support and customer service experience (office management experience a plus)
- Bachelors in Business Administration or related degree
- Proficiency with Microsoft Outlook
- Five years or more for supporting an Executive level type position
- Administrative support experience in the medical arena
- Proven record of competence in time management, planning and problem solving
- Proficiency with Microsoft Office Suite (skills will be evaluated upon interview)

- Experience in government or health and human services settings

- Excellent verbal and written communication skills
- Able to provide anticipatory planning, guidance, and problem solving
- Initiative, independence, and able to complete projects without detailed instructions
- Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials are prepared and reviewed are complete, concise, and error-free
- Ability to analyze written information to determine importance of correspondence
- Ability to use software programs in support of supervisor’s report, presentations, and other types of communication
- Ability to maintain confidentiality and exercise discretion in handling information and materials
- Ability to be flexible in adapting to changes in priorities, assignments, and other interruptions which may impact pre-established timelines for completing assignments
- Ability to utilize office equipment and other relevant technology (software and systems) to meet business needs (e.g. Microsoft Office, internet)
