    DESCRIPTION

    This position will begin accepting online applications from February 27, 2025 until March 13, 2025 at 11:59 PM PDT.

    The Long Beach City Attorney's Office is recruiting for a full-time, unclassified Legal Office Assistant position to provide administrative support to the Long Beach Civil Service Commission. The Civil Service Commission is responsible for hearing employee appeals of discipline and assisting in resolving employee complaints about the Civil Service Hiring Process.

    EXAMPLES OF DUTIES

    • Track and monitor requests for appeals of discipline and IDRs (Industrial Disability Retirements);
    • Send Commission referred cases out to OAH (Office of Administrative Hearings) for adjudication;
    • Coordinate/Schedule appeal hearings for the Commission;
    • Schedule court reporter for the appeal hearing;
    • Order transcripts from court reporter when needed;
    • Take oaths at hearings;
    • Log evidence exhibits received during hearings and maintain custody of them;
    • Prepare hearing minutes for the Commission;
    • Schedule Commission meetings/prepare agenda;
    • Type, edit, compose and format routine correspondence, memos, and letters;
    • Maintain files relative to assigned duties;
    • Performs other related duties as necessary or requested.


    REQUIREMENTS TO FILE

    • High School Diploma, GED or equivalent certification;
    • One year of full-time equivalent, progressively responsible experience in administrative clerical support work in an office setting.

    SUCCESSFUL CANDIDATES WILL DEMONSTRATE:
    • Good organizational skills, detail oriented, and able to work with speed and accuracy;
    • Proficiency in the use of Microsoft Office Programs (Word, Excel, and Outlook);
    • Excellent written, verbal, and interpersonal communication skills;
    • Ability to use correct English grammar, punctuation, and spelling;
    • Sound judgment and decision making in accordance with office policies and procedures;
    • Excellent time management and ability to meet deadlines;
    • Aptitude for proper task prioritization and ability to apply an appropriate level of urgency to tasks;
    • Strong document management skills and ability to file alphabetically, numerically, and chronologically;
    • Ability to work well independently and with a team;
    • Ability to interact professionally and tactfully at all times;
    • Ability to handle confidential matters;
    • Ability to establish and maintain harmonious and effective working relationships;
    • Good attendance, professional appearance and demeanor.


    SPECIAL NOTE:

    This is an "at-will" position. The appointed candidate will serve at the discretion of the City Attorney, and can be terminated at any time. In such an event, the candidate has no right to any appeal or grievance procedure under any rule or regulation of the City of Long Beach.
