Accounts Payable Supervisor - Auditor

Description

The Accounts Payable Supervisor performs supervisory and technical accounting work in the control of accounts payable for the County. Work involves overseeing disbursal and accounting of federal, state and local funds associated with County expenditures. Employee is responsible for ensuring proper and timely payment on vendor accounts, including reviewing and authorizing payment on invoices; resolving problems with vendor accounts; preparing adjusting journal entries; and overseeing proper maintenance of accounts payable records.

Examples of Duties

Directs operations of county accounts payable functions, ensuring adherence to established laws, regulations, policies, and procedures for the expenditure of federal, state, and local funds; audits invoices to ensure accuracy, completeness and proper budget authorization.
Supervises activities of Accounts Payable Clerks as necessary.
Trains, assigns, directs and supervises subordinate Accounts Payable Clerks; assists and advises subordinates, as necessary, resolving problems as non-routine situations arise; assists in hiring subordinates, and performs routine personnel administration functions, including approving time sheets.
Verifies accounts payable edit for accuracy; accrues weekly invoices.
Processes County employee travel expense reimbursement and advance payment requests; verifies expenses; issues and tracks advance payments; receives and codes reimbursements of advances; contacts hotels to arrange direct billing.
Establishes and maintains vendor account records, assigning account codes, determining tax status and ensuring proper and timely completion of required paperwork.
Confers with vendors, department heads, elected officials, and other employees about inquiries regarding invoices and billing statements, as necessary; researches and resolves discrepancies pertaining to invoices or vendor accounts, reviewing records and conferring with vendors as necessary.
Oversees maintenance and proper filing of accounts payable voucher packets; ensures public access and record retention in accordance with state laws.
Establishes vendor accounts; confers with vendors about County policies and procedures; processes travel payment advances and reimbursements for County officials.
Regular and punctual attendance is required.
Performs other related duties as required.

Minimum Qualifications

Associate's degree in related field and a minimum five years of experience in a related field; or an equivalent combination of education and related experience required.
