    Workdays & Hours: Monday - Friday 8am - 5pm; Some evening/weekend work required. This is an onsite full-time onsite position.

    The FWLab, launched in February 2023, is an innovative initiative designed to enhance Fort Worth’s organizational values and improve government services. By building capacity to explore, analyze, and learn from municipal data, the FWLab supports our vision to be “the most livable and best-managed city in the country.” We’re seeking a skilled and motivated Senior Administrative Assistant to join our small but dynamic FWLab Administration team. This role is a unique opportunity for an organizational leader to step in, assess existing processes, and create a streamlined infrastructure that enhances efficiency and clarity across our operations.

    Minimum Qualifications:
    • Bachelor’s degree in business administration, HR, or related field.
    • Three (3) years of administrative experience.
    • One (1) year in a supervisory or lead capacity.
    • Valid Texas Driver’s License

    Preferred Qualifications:
    • Proficient in Microsoft Office and advanced systems (e.g., Excel, Power BI).
    • Strong organization, time management, and interpersonal skills.
    • Ability to research, present, and solve problems effectively, event planning and process improvement experience a plus.

    The Sr. Administrative Assistant job responsibilities include:
    • HR & Payroll: Lead the charge in recruitment and onboarding, ensuring a seamless experience for new hires with tours, introductions, and payroll training. Oversee bi-weekly payroll corrections for accuracy and compliance, while meticulously tracking FMLA and Workers’ Compensation claims to support our team’s well-being.
    • Office & Records: Keep our office running smoothly by managing supplies and setting up welcoming workspaces for new team members. As the lead Medical Records Custodian, maintain confidential, accurate records with a keen eye for detail and adherence to regulations.
    • Budget & Purchasing: Take ownership of the Administration division budget, developing and presenting financial plans to leadership while recommending adjustments to meet goals. Handle day-to-day purchasing, P-card reconciliations, and purchase orders to keep resources flowing efficiently.
    • Programs & Training: Coordinate critical programs like our internship initiative, driving their success from planning to evaluation. Facilitate engaging training and team-building sessions, using your research and presentation skills to foster staff growth and collaboration.
    • Event Planning & Execution: Play a pivotal role in designing and delivering department and organization-wide events, such as staff appreciation days, SteerCo meetings, budget events, or FWStat sessions. Create event concepts, manage logistics (e.g., space setup, materials), and execute memorable experiences that strengthen team morale and align with strategic goals.
    • Support & Systems: Provide coaching to managers on performance issues, recommending measures to boost accountability. Master tools like Questica, Power BI, and advanced Excel to streamline processes, all while delivering exceptional customer service to internal and external stakeholders.

    Benefits That Are Well Worth It

    Medical Program

    The City offers two plan options through Meritain Health, an Aetna company.

    The Health Center Plan – Offers employees and their family’s

    primary health care services that are 100% completely free and unlimited. Employees can visit any one of the three City of Fort Worth Employee Health Centers and receive guaranteed same or next day appointments for sick visits. Also, services are available at any one of the five satellite locations that serves employees across the city.

    The Consumer Choice Plan – Is offered to employees at no cost or low monthly premiums to cover eligible dependents and provides the financial benefits of a Health Savings Account (HSA).

    • Preventative services are covered at 100% on both plans.
    • Prescription Drug coverage including mail order pharmacy are also included.

    Vacation

    Eligible for 3 weeks of vacation: After successful completion of probationary period (usually
    6 months), employees may take time off for rest, relaxation, vacation, illness, religious observances, and personal business.

    Holidays

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
