  • Job Description

    Job Summary

    Supervises, prioritizes, assigns and reviews the work of staff assigned to maintain public venues in Santa Monica. Responsibilities include supervising and coordinating facilities maintenance programs, overseeing daily site operations, supervising Event Coordinators and Guest Services staff, and overseeing venues for public events and private rentals.

    Representative Duties

    Supervises, plans, and coordinates facility (work orders, buildings and systems, signage, etc.) and equipment (furniture, technology, etc.) maintenance including anticipating and/or identifying facility failures; inputs work orders; coordinates and schedules vendor site visits and maintenance.

    Coordinates cross departmental team meetings to proactively maintain and plan work to keep site as a premier public facility.

    Works with Event Coordinators to maximize efficiency in scheduling, operations and coordination with site staff, vendors and clients.

    Coordinates with the Beach House Venue Manager to support Guest Services operations and staffing to provide efficient, effective operations, establishing a welcoming environment and the highest level of customer service.

    Works collaboratively with other City Departments and contractors to provide a seamless delivery of programs and services.

    Acts as point of contact for operations and production of onsite events including preparation, staffing, set-up, day of event operations, and closing out.

    Selects, trains, schedules and supervises assigned staff as well as consultants and volunteers.

    Responds to inquiries, researches and resolves complaints. Provides assistance to guests and to the general public.

    Acts in the place of the Beach House Venue Manager when needed.

    Assists in the preparation and monitoring of program budgets. Selects and procures program equipment and supplies to meet facility needs.

    Performs other duties, as assigned.

    Requirements

    Knowledge of:

    Principles and practices of supervision

    Principles and practices of facilities management, maintenance and repair

    Applicable federal, State, and local laws, codes, and regulations, including the Uniform Building Code

    Safe work practices and procedures

    Preventative maintenance practices

    Recordkeeping and scheduling methods

    Principles and practices of budgeting, including basic bookkeeping and accounting procedures

    Principles and practices of program and event scheduling and booking

    Principles of report preparation

    Relevant local, federal, and State laws, legislation, and regulations

    Principles, practices, and techniques of supervision

    Conflict and dispute resolution techniques

    Effective training and coordination techniques

    Effective customer service techniques

    Modern office practices and methods, including computer software and web application technologies

    Ability to:

    Select, supervise, motivate, train, and evaluate staff

    Schedule and prioritize projects and work assignments

    Conduct research, analyze information, and make recommendations

    Read and interpret blueprints, manuals, plans and specifications

    Plan, coordinate, and oversee multiple projects and activities

    Participate in budget preparation and administration

    Develop and evaluate policies and procedures

    Prepare clear, concise and comprehensive reports

    Interpret, apply and explain policies, laws, and regulations

    Communicate effectively, both orally and in writing

    Provide effective customer service

    Establish and maintain effective and cooperative working relationships with City employees and the general public

    Skill in:

    Event, meeting and group facilitation

    Working effectively with persons from diverse social, cultural and economic backgrounds as well as a variety of work styles, personalities and approaches

    Using a personal computer and applicable software applications

    REQUIREMENTS

    Minimum Qualifications:

    Option A

    Education: Graduation from an accredited college or university with a bachelor’s degree in business or p ublic administration, arts management, theatrical production, recreation administration or a closely related field.

    Experience: Three years of recent, paid work experience planning and overseeing events. Experience must have included overseeing facilities maintenance functions of an event venue or similar facility. At least two years of the recent, paid experience must have included leading and coordinating the work of other OR one year of leading and coordinating the work of others and successful completion of the City of Santa Monica’s Pre-Supervisory Academy at the time of application.

    Option B

    Education: Graduation from an accredited college or university with a bachelor’s degree.

    Experience: Four years of recent, paid work experience planning and overseeing events. Experience must have included overseeing facilities maintenance functions of an event venue or similar facility. At least two years of the recent, paid experience must have included leading and coordinating the work of other OR one year of leading and coordinating the work of others and successful completion of the City of Santa Monica’s Pre-Supervisory Academy at the time of application.

    Option C

    Education: Graduation from an accredited college or university with an associate degree.

    Experience: Six years of recent, recent, paid work experience planning and overseeing events. Experience must have included overseeing facilities maintenance functions of an event venue or similar facility. At least two years of the recent, paid experience must have included leading and coordinating the work of other OR one year of leading and coordinating the work of others and successful completion of the City of Santa Monica’s Pre-Supervisory Academy at the time of application.

    Option D

    Education: Graduation from high school or evidence of equivalent educational proficiency.

    Experience: Eight years of recent, paid work experience planning and overseeing events. Experience must have included overseeing facilities maintenance functions of an event venue or similar facility. At least two years of the recent, paid experience must have included leading and coordinating the work of other OR one year of leading and coordinating the work of others and successful completion of the City of Santa Monica’s Pre-Supervisory Academy at the time of application.

    Licenses and Certificates:

    Ability to obtain and maintain a valid class C driver license or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

    WORKING CONDITIONS

    Work is routinely performed indoors in a home office or work office setting in accordance with the City’s Hybrid Workplace Policy. Off-site assignments and irregular work hours are frequently required. Position may require working on the weekends and in the evenings when events take place. May be required to wear a uniform while working. Physical demands may include bending, kneeling, squatting, sitting, running, standing, climbing and lifting moderate weight.
