    ABOUT THE POSITION

    Clark County is seeking qualified candidates to apply for the position of Executive Assistant.

    Real Property Management
    This position will provide complex and confidential secretarial and office administrative assistance to the Department head and Deputy Directors. The ideal candidate will possess skills in Microsoft Office and SAP to include the development of special report forms, presentations, agendas, memorandums, agreements, letters, and meeting minutes while utilizing correct business English and having a good understanding of the day-to-day activities. The candidate will maintain the Director's calendar, prepare and organize documents for the director's meetings, organize own work, multi-task, set priorities, meet critical deadlines with minimal direction and work well with others. This position will coordinate, collect, prepare, edit, and route BCC agenda packages in a timely manner to meet critical deadlines on behalf of RPM by utilizing Legistar Agenda Management Software.

    Social Services
    This position provides essential support to executive leadership and ensures efficient administrative operations. Key responsibilities include managing schedules, organizing meetings, preparing, and proofreading reports, handling correspondence, and screening visitors and calls. The role also involves researching, compiling, and summarizing materials, drafting, and editing documents, and organizing travel. The Executive Assistant will oversee confidential materials, ensure files are organized and purged appropriately, and follow up on projects to support management in day-to-day activities. Additionally, the Executive Assistant will use judgment and policy knowledge to resolve issues, provide information, and ensure the smooth execution of key activities. The ideal candidate will be proactive, organized, and able to prioritize tasks.

    MINIMUM REQUIREMENTS

    Education and Experience: Equivalent to two (2) years of college level course work AND three (3) years of full-time secretarial experience. Experience providing office and administrative support to management staff is desirable. Professional level experience and/or education that has provided the skills and knowledge necessary to perform all job functions at this level may be substituted on a year-for-year basis.

    NOTE: Specific positions may require skill in taking dictation at a rate of 80 words per minute by hand or stenographic machine and transcribing it accurately.

    Background Investigation: Employment is contingent upon successful completion of a background investigation. Periodically after employment background investigations may be conducted.

    EXAMPLES OF DUTIES

    • Receives and screens visitors and telephone calls, providing information and resolving complaints which regularly requires the use of judgment and the interpretation of policies and procedures.
    • Researches, compiles and summarizes a variety of informational or statistical materials; may compile and review budget figures.
    • Types drafts and a wide variety of finished documents from stenographic notes, brief instructions, or printed materials; may use word processing equipment and input or retrieve data and prepare reports using a computer system; may compile and process confidential materials.
    • Initiates correspondence independently for own signature or by appropriate management staff; reviews finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate English usage.
    • Organizes and maintains various administrative, reference, and follow-up files; purges files as requested.
    • Organizes meetings by notifying participants, making room arrangements, preparing agendas and required informational materials; may attend such meetings and prepare minutes or may represent the manager at such meetings.
    • Relieves managers and supervisors of certain administrative matters by following up on projects, transmitting information, and keeping informed of pertinent activities.
    • Makes appointments and maintains a calendar, schedules and arranges for meetings and makes travel arrangements; sorts mail and obtains related backup materials.
    • Assists with the development and administration of the department's budget; may prepare or maintain statistical, fiscal or payroll information.
    • May coordinate departmental personnel, purchasing and related administrative support activities.
    • Organizes own work, sets priorities and meets critical deadlines; ensures that such deadlines are met by other staff.
    • May provide supervision, training and review of work of office support staff.
    • May drive a personal, County or agency motor vehicle in order to attend meetings.


    PHYSICAL DEMANDS

    Mobility to work in a typical office setting and use standard office equipment, vision to read printed materials and a computer screen, and hearing and speech to communicate in person or over the telephone.
