    Workdays & Hours: Monday - Friday 8am - 5pm - 100% working in division office; Field Operations is a 24/7 Operation - weekend and after hour work may be required. This role requires proactive and dependable individuals who can quickly adapt to changing conditions and respond efficiently.

    The City of Fort Worth Water Department is seeking a highly skilled and motivated Senior Administrative Assistant to join our Field Operations Division. As the largest division in the Water Department, Field Operations is a vital function responsible for the ongoing maintenance of the City’s infrastructure. Our division operates 24/7, and this role is critical to ensuring the smooth daily operations that keep Fort Worth’s water systems functioning seamlessly.

    As a Senior Administrative Assistant, you will play an essential role in supporting the leadership team of the Field Operations Division. This key position involves being a senior lead in administrative functions, human resources activities, managing budgetary tasks, and executing special projects that contribute to the overall success of the department. Instrumental in ensuring the division runs smoothly by maintaining adherence to established policies and procedures, while consistently upholding high-quality standards. This role offers a dynamic and collaborative work environment. The ideal candidate must demonstrate a positive attitude, be a team player, possess a strong work ethic, have exceptional attention to detail, and show a proactive approach to problem-solving. This position offers robust opportunities for skill development: begin with a 6-month probationary period mastering foundational tasks, then expand your expertise in budget management, HR coordination, and staff development over time.

    The Senior Administrative Assistant job responsibilities include:
    • Prioritizing and Assigning Work: Assist in overseeing daily team operations by ensuring that tasks are effectively prioritized and assigned to staff. This includes assigning responsibilities based on workload and team strengths, ensuring operational goals are met.
    • HR & Payroll: Lead recruitment and onboarding efforts, ensuring a smooth and welcoming experience for new hires, including conducting tours, introducing them to the team, and providing payroll training. Oversee bi-weekly payroll corrections, ensuring accuracy and compliance with department standards.
    • Office & Records: Keep the office operations running efficiently by ensuring organized workspaces for new team members, and maintaining confidential and accurate records. As a lead Human Resource Coordinator, ensuring compliance with regulatory standards and maintain up-to-date, organized files.
    • Budget & Purchasing: Assist with division budgeting, supporting the development and presentation of financial plans to leadership. You will help recommend adjustments to meet financial goals, as well as assist with P-card reconciliations, and other financial tasks.
    • Programs & Training: Coordinate important programs, taking them from planning to successful execution. Facilitate engaging training and team-building sessions, leveraging your research, organizational, and presentation skills to foster team development and collaboration. Making conference travel arrangements for division employees.
    • Job Fairs: Take a central role in planning and executing department and organization-wide events, including managing space setup, preparing materials, and ensuring memorable experiences for job seekers and new hires during onboarding.
    • Support & Systems: Offer coaching to managers on performance issues, providing recommendations for strategies to improve accountability and enhance team dynamics. Master tools such as Questica and advanced Excel to streamline workflows, while delivering exceptional customer service to internal and external stakeholders.
    • Other Duties as Assigned: As a key member of the administration team, you’ll support high level support on administrative tasks and special projects as needed to ensure the success and continued improvement of the Field Operations Division.

    Minimum Qualifications:
    • Bachelor’s degree from an accredited college or university with major course work in public administration, business administration, human resources, or related field
    • Three (3) years of increasingly responsible administrative and fiscal budget management experience in support of a department, division, or major service area
    • One (1) year in a supervisory or lead capacity.
    • Strong organization, time management, attention to detail, follow-through., and interpersonal skills.
    • Communicate clearly and effectively, both orally and in writing

    Preferred Qualifications:
    • Bilingual Skills
    • Five (5) years of increasingly responsible administrative and fiscal experience role.
    • Two (2) years’ experience with Questica or similar budgeting software.
    • Experience with record keeping and tracking
    • Proficient skills using Microsoft Word and Excel
    • Experience in research, present, and solve problems effectively, event planning and process improvement experience a plus.

    Medical Program

    Vacation

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
