ABOUT THE POSITIONPublic Assistance within the Division of Social Services has two Office Assistant II Bilingual Fixed Term positions through June 30, 2027. These positions require onsite work and are half-time, 18.75 hours per week. These positions will serve as greeters in the lobbies at 120 North Redwood Drive and 3240 Kerner Blvd in San Rafael. They will greet visitors and direct them to the appropriate area for help including the CalSAWS kiosk, other offices, and the receptionists at the front desk. They will assist clients in using the CalSAWS kiosk for such functions as scanning documents, checking in for appointments, and obtaining general case information. In addition, they will assist clients in completing forms and help with translation. They may also assist other Office Assistant staff with things like correlating forms, making packets, and keeping the lobby stocked with mandatory forms. They will be working to serve a very diverse community, alongside a staff that reflects the community’s diversity. This position can be a gateway to a number of Office Assistant III positions within our department.
Fixed-Term: This is a 2 year fixed-term position. This position is budgeted through June 30th, 2027. However, there may be opportunities for the hired individual during this time-period to move to a regular, ongoing position as other vacancies or promotional opportunities occur, or the position may be funded and convert to an ongoing position. Fixed-term employment ends when the position’s funding finishes, or the work is completed. Employees in these positions are exempt from the County’s policies regarding lay-off order and reduction-in-force rights.
Bilingual Testing:Bilingual Testing/Certification: The successful candidate must possess bilingual skills and must demonstrate proficiency in both Spanish and English prior to appointment. A bilingual proficiency exam will be administered to ensure the candidates possess the appropriate skill level to meet the requirements.

QUALIFICATIONS Knowledge of
- Standard office practices and procedures including filing and retrieval systems, correspondence formats and the operation of standard office equipment.
- Standard office applications including word processing, spreadsheet and database systems.
- Correct English usage including grammar, spelling and punctuation.
- Business arithmetic.
Ability to Office Assistant I - Learn general office practices and procedures.
- Perform routine clerical work.
- Learn policies and procedures related to the department to which assigned.
- Understand and follow written and oral instructions.
- Perform simple mathematic calculations.
- Communicate effectively both verbally and in written form sufficient to convey information and instructions to the public and other employees in situations requiring tact, courtesy and poise.
- Establish and maintain effective working relationships with those contacted in the course of the work.
- Type at an acceptable rate of speed based on the requirements of the position.
Office Assistant II (in addition to above): - Perform general clerical and technical work quickly and accurately.
- Use database, spreadsheet, word processing, publishing and/or internet applications depending on assignment.
- Read, interpret and apply rules, policies and procedures in specific situations.
- Prepare and maintain accurate and concise records and reports.
- Read and comprehend manuals and instructions related to assignment such as: maps; drawings; policies and procedures; training materials; code books; instructions for equipment; and safety rules and procedures.
- Perform basic mathematic calculations.
