SUMMARY
This position supports the Early Learning - Child and Adult Care Food Program (CACFP) by helping to coordinate daily administrative tasks and ensure the program follows USDA and OSPI rules. Working closely with the Early Learning Program Administrator, this role assists with monitoring activities, staff training, data entry and tracking, and keeping accurate records for compliance.
The position also provides support to other Nutrition Services programs, including helping with the Community Eligibility Provision (CEP) and general office duties. Support for these additional programs may take up 25% to 50% of the work time, depending on the needs of the department.
ESSENTIAL JOB FUNCTIONS:
Supports the daily administrative operations of CACFP in collaboration with Early Learning and Nutrition Services teams to ensure compliance with federal and state regulations.Maintains and updates all required CACFP paperwork and helps ensure the Early Learning Program stays in compliance with enrollment and eligibility form requirements. Keeps accurate and organized records for attendance and meal counts, monitoring logs, corrective actions, training documents, poster checks, and dietary accommodation requests.Conducts and records CACFP monitoring visits at all participating sites. Makes sure each site is visited the required number of times each year and that all findings and follow-up actions are properly documented following USDA and OSPI rules.Helps plan and lead required CACFP staff trainings, including new employee onboarding, yearly refresher trainings, civil rights training, and training on meal guidelines and point-of-service (POS) procedures.Collaborates with site staff to ensure accurate POS meal counting, reviews by-name rosters, and verifies classroom-based serving and claiming compliance.Works with Early Learning site supervisors and the Program Administrator to check and update site calendars, meal service times, and WINS system entries. Keeps accurate records and communication logs.Assists in the preparation and organization of program data for internal audits, OSPI reviews, and annual CACFP renewals, ensuring timely and accurate submissions.Takes part in quarterly program reviews to look at trends, help identify training needs and suggest updates to procedures and compliance practices. Spends 25% to 50% of the workday supporting other Nutrition Services programs. Tasks include helping with Child Nutrition Eligibility & Education Benefit (CNEEB) processing, organizing eligibility documents, assisting with program communication, and providing general office support. Attend trainings and professional development sessions to stay up to date on CACFP and child nutrition regulations.Maintain a solid understanding of CACFP documentation, claiming procedures, and compliance requirements.Respond to internal and external inquiries regarding CACFP processes, required forms, and regulatory expectations.Respond to internal and external inquiries regarding Free & Reduced status, Direct Certification of students, and CNEEB applications. Experiences frequent interruptions. This position is primarily office-based with occasional travel to early learning and school sites for monitoring, training, and support. May require lifting up to 25 pounds, and extended periods of data entry and documentation review
MINIMUM QUALIFICATIONS
Education and Experience
High school diploma or equivalent required; an associate’s degree or relevant coursework in nutrition, public health, education, or a related field is preferred. A minimum of two (2) years of experience providing administrative support in school nutrition programs, compliance-based programs, or similar office environments is required. Familiarity with CACFP or USDA child nutrition program requirements is strongly preferred. Experience working in a school district, early learning program, or public agency is highly desirable.
Licenses/Special Requirements
Must maintain all licenses and certifications as a condition of continued employment .
Valid Washington State Food Handler’s card.
Valid Washington State driver’s license with access to personal transportation.
Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.
Knowledge, Skills and Abilities
Strong knowledge of CACFP, USDA meal patterns, and federal recordkeeping requirements
Proficiency in Microsoft Office Suite, Teams, and data management platforms
Ability to conduct and document site reviews, staff training, and compliance audits.
Excellent organizational skills and attention to detail
