$25.38 - $30.46, depending on qualifications and experience.

Essential Functions: - Respond to customer inquiries verbally or in writing concerning building, zoning and subdivision matters.
- Maintain a multi-line phone system and high-volume customer service counter.
- Receive, process and schedule departmental meetings and workshops. Concept review applications, including the completion of initial research in verifying addresses, zoning information, applicable development and annexation agreements. Compile Department information and prepare reports as assigned.
- Maintain daily cash receipts, payment allocation and reconciliation of cash batch.
- Process development agreements, permits, and financial securities related to site improvements.
- Serve as Board/Commission Secretary as assigned, preparing agendas and public hearing notices in a timely and accurate manner, maintaining records, coordinating the preparation, posting, and distribution of materials.
- Attend Board/Commission meetings as assigned twice a month or as scheduled; these meeting may extend into the late evening.
- Prepare accurate summary minutes of Board/Commission meetings in a timely fashion.
- Prepare and distribute in a timely manner accurate, up-to-date Development Center Schedules as assigned.
- Maintain departmental web pages and forms, including the timely posting of Board/Commission materials and the updating of time-sensitive information including checklists and fee schedules.
- Assist in providing social media updates.
- Prepare and track contracts and proposals. Organize and maintain agreements, contracts, purchase orders, invoices, board/commission and City Council related documents.
- Provide front line response to public and internal inquiries regarding departmental activities, programs, policies, procedures, and projects by phone, in writing, or in person.
- Administer and maintain document submittal records and information in hard-copy files and computerized systems, as applicable.
- Track and route final documents for appropriate City signatures.
- Assist in program design, development of program materials, development of marketing materials, and scheduling and attending events such as workshops, presentations and promotions, assist in distribution of information to customers.
- Provide a variety of clerical support functions involving typing and editing of forms and correspondence such as spreadsheets, manuals, flyers, brochures, and any other documents needed by department personnel.
- Maintain Municipal Code updates, books and literature for staff, and handbooks for Boards/Commissions.
Other Job Functions: - Attend required neighborhood meetings in order to inform participants of process requirements.
- Coordinate all travel and meetings for Boards/Commissions and staff.
- Manage department records to ensure complete and retrievable records are maintained.
- Order supplies for the department and schedule maintenance of office equipment.
- Performs other duties as assigned.
Job Level and Management Expectations: Qualifications: Education: - Required: High School or GED.
- Preferred: Formal training or education in business, computers, and accounting principles.
Experience: - Required: 3 Years p rogressively responsible clerical and administrative experience.
- Required: Proficiency in Word, Excel and Outlook.
- Required: Demonstrated knowledge of office procedures including some accounting or bookkeeping and automated data entry.
- Preferred: Experience in preparing meeting minutes is highly desirable.
Knowledge, Skills, and Abilities: - Must possess a sound working knowledge of modern office practices, procedures and equipment including personal computers.
- Ability to read and follow written and oral instructions.
- Requires organizational skills and ability to plan and manage multiple concurrent tasks and frequent interruptions in a fast-paced environment.
- Must be proficient at computer work processing programs, spreadsheets, and database programs.
- Ability to learn other computer programs.
- Accurately maintain files, records and reports.
- Efficiently operate standard office equipment and type at a speed that allows for completion of projects in a timely manner.
- Must have competent language skills, including a thorough knowledge of spelling, punctuation, grammar, arithmetic and business English.
- Must be able to develop and maintain effective, cooperative, friendly, and professional working relationships, using superior oral and written communication skills, with City employees and the public even in conflict situations.
- Must be capable of discerning when confidentiality is required and be able to maintain confidentiality.
- Requires the ability to independently take initiative in the gathering, assembling, and analyzing of facts to create a more efficient operations and develop solutions to administrative problems.
- Ability to work well under pressure and meet deadlines.
Physical Demands and Working Conditions: - Frequent: Minimal physical effort typically found in clerical work. Primarily sedentary, may occasionally lift and carry light objects. Walking and/or standing as needed and minimal.
Working Environment: - Frequent: Exposure to routine office noise and equipment.
- Occasional: Exposure to hazards typically found in general office environments where there is rarely to no exposure to injury or accident.
