Position DutiesThe City of San José is creating the civic technology foundation that helps our community thrive every day. Do you have the skills and sense of service it takes If so, this is an exciting opportunity in the Information Technology Department. The Principal Office Specialist position is a full-time benefited position, which reports directly to the Program Manager of the City Customer Contact Center (CCCC) and is a primary contributing member of the team. The Principal Office Specialist performs and supports a variety of CCCC activities, as well as general personnel administration throughout the CCCC.
Responsibilities include, but are not limited to:
- Supervision of CCCC staff and identifying improvement opportunities.
- Prepare and edit various documents, emails, and service requests.
- Collect and maintain department performance measure data to ensure accurate reporting .
- Provide training to CCCC staff, departmental staff and elected offices on protocols and practices related to customer service, call handling and entry of data into the City’s customer relationship management system.
- Act as a Liaison for other departments.
- Act s as an escalation point of contact and backup for manager and staff.
Please note that the Principal Office Specialist position is currently on a hybrid telework schedule ( 32 hours on site, 8 hours remote) - working remotely and onsite is subject to change.
Salary Information: The actual salary shall be determined by the final candidate’s qualifications and experience. In addition to the starting salary, employees in the Principal Office Specialist classification shall also receive an approximate five percent (5%) ongoing non-pensionable compensation pay.
- Annual s alary range (including the 5% NPWI): $74,627.28- $90,679.68
The Principal Office Specialist classification is represented by the
Municipal Employees' Federation (MEF) .
Minimum QualificationsEducation and Experience :
Completion of high school or equivalent (General Education Development [GED] Test or California Proficiency Certificate) AND three (3) years of experience in varied office clerical work.
Acceptable Substitution :
A bachelor’s degree from an accredited college or university may be substituted for the required experience.
Other QualificationsPhysical Elements :
In an office environment, possess ability to:
- Operate, access, enter, and retrieve data using standard office equipment, including but not limited to a computer or tablet .
- Read printed materials and a computer screen .
- Communicate in person and over the telephone .
- Lift, carry, push, and pull materials and objects up to 25 pounds, or heavier weights, in all cases with the use of proper equipment .
- Move between/within work areas, including but not limited to sitting, walking, and standing on various surfaces, turning, bending, grasping, and making repetitive hand movements .
- Be exposed to moderate noise levels and controlled temperature conditions .
- Maintain professional demeanor during interactions with staff, customers, and the public .

Citywide and departmental procedures/policies and federal and state rules and regulations. Knowledge and/or experience with applications specific to call center operations ( i.e. Automatic Call Distribution, billing applications).

Teamwork & Interpersonal Skills - Develops effective relationships with co-workers and supervisors by helping others accomplish tasks and using collaboration and conflict resolution skills.
Reliability - Completes quality work assignments in a timely and efficient manner; fulfills responsibilities and maintains confidentiality as appropriate .
Supervision - Es tablishes realistic priorities within available resources; provides motivational support; empowers others; assigns decision-making and work functions to others in an appropriate manner to maximize organizational and individual effectiveness.
Communication Skills - Effectively conveys information and expresses thoughts and facts clearly, orally and in writing; demonstrates effective use of listening skills; displays openness to other people’s ideas and thoughts.
