Why you’ll love this position:We are looking for an organized and highly motived individual to provide support to the Bureau of Health Care Analysis and Data Dissemination (BHCADD) and the Healthcare-Associated Infections and Antimicrobial Resistance (HAI/AR) Program as well as assist in other communicable disease prevention program efforts. BHCADD is a statistical support unit with 22 staff members. The HAI/AR Program is a healthcare facility technical assistance team with 10 members. As the Lead Administrative Support Assistant, you will provide support to BHCADD, the HAI/AR Program and other programs as needed. The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.
- Provide primary support to BHCADD and the HAI/AR program
- Answer the main phone line and schedule meetings.
- Process payments for data requests and communicate with external partners.
- Manage and track the flow of fiscal notes for the respective units ensuring deadlines are met.
- Submit, monitor, and track invoices utilizing Smartsheet submission and tracking. Track documents through the approval process.
- Track the flow of documents needing Division review/approval and provide regular status updates to the unit managers.
- Assist with business travel which includes, lodging, car reservations, conference registrations, etc.
- Proof documents, letters, memos, and policies.
- Complete necessary forms and help desk tickets for new and/or departing employees.
- Process expense reports, purchase requests, and manage fixed asset inventory.
- Process print requests for materials and business cards.
- Support the confidential processing of personnel information.
- Assist in formatting the Annual Vital Statistics publication.
- Maintain program supplies and order as needed.
Minimum Qualifications: - Graduate with a High School Diploma or High School Equivalency.
- Minimum 3 years relevant experience (substitutions allowed).
- Good telephone skills and customer service.
- Well organized and an ability to pay attention to detail.
- Excellent skills with standard office software (Word, Excel, PowerPoint, Outlook, etc.) with the ability to learn specialized software systems.
