As a Leasing Coordinator, you will have the opportunity to build for a stronger tomorrow by applying your diverse background, education, and work experiences to the space planning of state-owned and leased facilities statewide. RESU focuses on managing leased properties and the long-range space planning for statewide office space utilization, as well as assisting all state agencies in embracing ways and methods to improve their use of office space. Our program also provides space inventory data for all statewide leased and state-owned facilities.
We are seeking a proactive team player who can apply critical thinking to space management options that can create efficiencies and cost-savings for state agencies, understand new requests for space and communicate potential scenarios and impact, coordinate advertisements for space and evaluate bids, work closely with state agencies to understand facility needs, manage current state-owned and leased space in assigned region, complete bi-annual leasing inspections, and analyze the current data in the assigned region to develop long-range plans for space utilization.

This position is with the Office of Administration Division of Facilities Management, Design, and Construction (OA-FMDC) supporting the Real Estate Services Unit within the Planning and Real Estate Services Team. - Prioritize excellent customer service for a wide and diverse network of internal and external stakeholders, including but not limited to internal teams, state agencies, state officials, landlords, contractors, and the public.
- Master planning of leased and state-owned space within assigned region to develop short and long-range goals.
- Proactively identify and communicate to supervisor opportunities to improve the efficient use of space, such as plans for relocating leased space tenants into underutilized state-owned space.
- Work closely with agencies and facility liaisons to determine the most appropriate use of space while ensuring that programmatic needs are met in an economical manner.
- Plan and budget for state-owned and leased property in assigned region.
- Visit sites to meet with local agency staff, inspection of facility conditions, and observe construction to ensure compliance with approved plans and lease agreements.
- Utilize eBuilder computer software to track space planning projects.
- Write specifications for space needs (request for proposals), evaluate bids, and coordinate posting to MOVERS with the Contracts Unit.
- Manage agencies’ facility requests from cubicle systems furniture reconfigurations to entire office renovations.
- Maintain the Lease Management System (LMS) that houses all space allocations and rent amounts for leased and state-owned facilities.
- Serve as a liaison between landlords and state agencies regarding facility requests or concerns.
- Responsible for renewing or collapsing lease contracts as they approach renewal options or final term within the assigned region.
- Review policies, rules, and legislation to ensure programmatic compliance, specifically within Chapter 34, RSMo and CSR 35-2.
- Complete inspections twice per year and before each renewal for all leased facilities.
- Carry state-issued cell phone with you during work shift and bring work cell phone home with you after your normal shift ends. While off shift, team members shall respond timely to urgent texts, phone calls, voicemails, chat messages, and emails. It is pertinent to note that having your state-issued cell phone on does not mean you are on call after your work shift ends.
Minimum Qualifications - Two or more years of professional or technical experience in the real estate industry or non-residential design work including space analysis, office and systems layouts, and/or commercial and institutional design.
Preferred Qualifications - Degree from an accredited four-year college or university with specialization in interior architecture, property management, business administration, or closely related areas.
- Excellent communication, time management, and organizational skills.
- Outstanding attention to detail, analytical skills, and reporting capabilities.
- Ability to adapt to changing priorities and complete tasks with a sense of urgency.
- High level of proficiency in Microsoft Suite Outlook, Word, and Excel; experience with Microsoft Suite PowerPoint; Adobe Acrobat; AutoCAD; and BlueBeam PDF software preferred.
- Experience with planning, project management, and space design preferred.
- Knowledge of property management principles and methods, materials, and equipment used in the care of public buildings and grounds.
- Ability to learn new things quickly and thoroughly as well as teach others.
- Ability to establish and maintain effective working relationships with other employees, state agency management, and landlords.
- Advanced knowledge of facility management principles and best practices.
- Understanding of continuous improvement and operational excellence concepts such as Lean Six Sigma.

This position is in an office environment and job duties may include prolonged periods of seated work at a desk, typing, written and verbal communication, problem solving, and the occasional ability to lift/carry up to 50 pounds.
