Position Summary The
Administrative Support Coordinator II provides high-level administrative and operational support to the Associate and Assistant Vice Presidents within the Division of Student Affairs and Campus Diversity. This position plays a key role in ensuring smooth coordination of meetings, events, and communications, while helping advance the Division’s mission to foster an affirming, inclusive, and collaborative campus environment.
Key Responsibilities:
- Administrative Coordination: Provide executive-level support to assigned Associate/Assistant Vice Presidents, managing complex calendars, correspondence, and project logistics.
- Front Office and Communication Management: Serve as the first point of contact for inquiries, troubleshooting front desk issues, and ensuring effective information flow within the Vice President’s Office.
- Student and Public Engagement: Handle initial intake of student, parent, and public concerns, research and evaluate information, and determine appropriate follow-up or referral.
- Meeting and Event Support: Coordinate meetings, prepare materials and minutes, and support the planning and execution of large-scale events and divisional retreats.
- Travel and Budget Support: Arrange complex travel schedules and process related documentation, including reimbursements, purchase requisitions, and credit card reconciliations.
- Supervision and Training: Hire, train, and lead student assistants, ensuring efficient workflow and a welcoming, professional office environment.
- Collaboration: Work closely with the Executive Management Team and university partners to support projects, policies, and events with broad campus impact.

Position Information - This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
- This position is designated non-exempt under FLSA and is eligible for overtime compensation.
- Standard SDSU work hours are Monday - Friday, 8:15 a.m. to 4:45 p.m., but may vary based on operational needs.
- The individual hired into this role will work on campus at SDSU in San Diego.
Department Summary The Office of the Vice President for Student Affairs and Campus Diversity is responsible for the coordination and development of student services and building the inclusive excellence of SDSU's staff and faculty at San Diego State University. Departments include, but not limited to, Assistant Deans for Student Affairs; Career Services; Center for Educational Partnerships, Outreach and Success; Communications Services; Counseling and Psychological Services; Cal Coast Credit Union Student Finance Center; Military Veterans Program; New Student and Parent Programs; Office of the Student Ombudsman; Residential Education; Resource Management; Student Disability Services; Student Health Services; Student Life and Leadership; Student Rights and Responsibilities; Testing Services Office; Well-being & Health Promotion; Cultural and Identity Centers; and programming related to Inclusive Excellence.

Education and Experience Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Key Qualifications - Proficiency with standard office software (e.g., Google Workspace, Excel, Word, PowerPoint).
- Experience providing administrative support, including managing calendars, coordinating travel, and handling front desk or reception duties.
- Experience supporting or working in an executive or high-level office environment.
Experience training or providing guidance to student assistants or other staff. - Experience with budgeting, payables, or financial tracking is preferred.
- Experience using database or reporting systems (e.g., Oracle, PeopleSoft) is preferred.
- Bilingual in Spanish and English is preferred.
Licenses/Certifications Required Valid California Driver’s License or the ability to obtain one within 10 days of hire.

Compensation:
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($4,367/month).
- CSU Classification Salary Range: $4,367 - $6,362 per month (Step 1 - Step 20).
- Future increases, including step advancements, are subject to contract negotiations.
