    The Human Resource Center has an opening for an Executive Assistant located in Jefferson City, Missouri. The primary function of this position is to serve as senior-level administrative support to the Human Resource Director for the Department of Social Services. This position also provides support to the Deputy HR Director and HR Legal Counsel.

    Semi-Monthly Salary: $2,673.76

    Individual(s) selected for this position may receive a higher rate based on a pay differential (e.g., shift, or time-of-service pay).

    Why you’ll love this position: This unclassified position is located in the Human Resource Center of the Broadway State Office Building. This is a senior-level specialized support, technical and administrative work involving a high degree of independent judgment and action. Work involves responsibility for making independent decisions based upon knowledge of agency operations, policies, and procedures.

    What you’ll do:

    § Recognize priorities while screening incoming calls, e-mails, and inquiries and forwarding to the appropriate unit and/or person for response.

    § Prepare correspondence, reports and review all correspondence prepared for the Human Resource Director’s signature, ensuring proper tone and format.

    § Create files, track litigation matters, request information, and serve as legal assistant to Legal Counsel

    § Make travel arrangements, both in-state and out-state. Complete appropriate reimbursement requests for expenses.

    § Track employee disciplinary actions.

    § Coordinate team meetings and projects. Schedule and facilitate meetings with large groups and individuals. Secure meeting location, overnight accommodations, prepare agendas and handouts, attend and take minutes.

    § Serve as liaison to MO Ethics Commission, prepare updates as needed.

    § Prepare documents to be archived; boxed, logged, traced. Retrieve archived files when requested

    § Supervise front desk administrative support position.

    Minimum Qualifications:

    § High School Diploma or Equivalent and Five years of related administrative experience, with at least three years performing advanced administrative duties.

    Preferred Qualifications:

    Proficiency in MS PowerPoint, Word, Outlook, Excel, Canva, Webex and Teams.

    • Excellent oral, written, and interpersonal communication skills.

    • Ability to work in a high-paced work environment, with changing deadlines and priorities.

    • Ability to work independently, with minimal direction and supervision, exercising sound judgment and maintaining a high level of discretion in dealing with sensitive/confidential information.

    • Ability to work with a high degree of accuracy and dependability.

    • Thorough knowledge of grammar, composition, spelling, office practices, procedures, systems, and equipment.

    • Ability to supervise, instruct, and train subordinates.

    • Ability to multi-task and work for several people. Must be well organized.
