    Job Summary

    The Judicial Assistant works closely with the Judge and court staff to support daily court operations. Responsibilities may include drafting orders, maintaining the court calendar, and assisting with case processing. The position requires professionalism, discretion, and strong organizational skills.

    Starting Salary:
    $18.22 - $29.23 per hour (Depending on qualifications, experience, and approval)

    Work Schedule:
    Monday through Friday
    8:00 a.m. - 5:00 p.m.

    Public Interaction:
    Limited interaction with the public as required by the position.

    Travel Requirements:
    Travel is not required on a regular basis. Occasional travel may occur for annual COJET training in Kingman. Carpooling is typically coordinated to reduce county travel expenses.

    Work Environment:
    Requires extended periods of sitting, as well as standing, walking, bending, and other routine office-related physical activities.

    Essential Job Functions

    • Handles the day-to-day in court and office operations of a Justice of the Peace (JP); serves as first point of contact for the JP; works with visitors, callers and others having business with the JP; maintains and updates the JP’s schedule and as required, court calendar; schedules appointments, contacts persons requesting appointments and performs related support tasks.
    • As required, drafts and/or edits correspondence, letters, memoranda and other written documents; maintains and updates electronic and manual recording and filing systems.
    • As required, serves as a courtroom clerk; pulls files for court; checks for completeness; searches for and updates court file as required; calls parties into the courtroom; updates a variety of court records.
    • Operates and ensures For The Record (FTR) is functioning correctly, checks in jurors; schedules bailiffs; takes minutes of court proceedings; as required, tracks and updates recording logs.
    • As required, replenishes office and common area supplies and materials; fills water pitchers, replenishes cups and performs other duties associated with preparing the courtroom and surrounding areas.
    • Accepts and checks court files set for hearing; determines completeness and readiness for court activities.
    • Updates and maintains a variety of statistical and financial files, records, logs and reports.
    • Retrieves and processes daily mail; makes copies; sends and receives faxes; shreds confidential documents as instructed; operates and maintains office equipment; orders supplies and materials; maintains and updates inventory and supply logs.
    • Makes conference and/or other travel arrangements.
    • As assigned, assists with developing and/or distributing meeting agenda; compiles and distributes meeting materials attends meetings; takes and transcribes minutes; sends out meeting notices.
    • Coordinates JP activities with other judicial officers, attorneys, public agencies and others having business with the JP.
    • Responds to inquiries; provides legal information and assistance within the scope of designated authority without giving legal advice.
    • Performs other functions as assigned.

    SECONDARY JOB FUNCTIONS
    • Performs related work as required.
    • Performs special assignments as requested.
    • Exercise regular and predictable attendance and punctuality in accordance with Mohave County Personnel Policies and Procedures.


    Minimum Qualifications

    • High School Diploma/GED (General Education Degree).
    • Three (3) years of relevant court clerk, secretarial, legal secretarial, clerical, customer service or closely related experience.
    • OR an equivalent combination of education, experience, and training which provides the required knowledge, skills and abilities may be considered in meeting the minimum qualifications.

    SPECIAL JOB REQUIREMENT
    • Must possess a valid driver’s license for operation of motor vehicles on Arizona roads at the start of employment and maintain said license while employed in this position.
    • Provide acceptable driving history at no cost to the County.


    Knowledge, Skills & Abilities

    • Applicable city, county, Arizona Supreme Court, state and Federal statutes, rules, ordinances, codes, administrative orders, case law and other relevant directives.
    • Mohave County and specific court-related policies and procedures.
    • Principles of files and records management.
    • Principles of bookkeeping and/or accounting.
    • Court processes, procedures and legal terminology.
    • Principles of inventory control.
    • Department policies, rules and procedures
    • Mohave County Personnel Policies and Procedures, and Department Regulations.
    • Reading, understanding, interpreting and applying relevant city, county, state and Federal statutes, rules, ordinances, codes, administrative orders, case law and other relevant directives.
    • Assessing, evaluating, prioritizing and handling multiple tasks, projects and demands.
    • Working within deadlines to complete projects and assignments.
    • Producing written presentations and oral reports for internal and external audiences.
    • Establishing and maintaining effective working relations with co-workers, other County employees, representatives of other governmental agencies, the bar association, victims, witnesses, litigants, jurors, news media, general public and others having business with the courts of Mohave County.
    • Operating a personal computer utilizing a variety of commonly used and specialized software applications.
    • Communicating and maintaining professionalism with the public, co-workers, and work contacts.
    • Analyze legal documents and interpret statutory requirements.
    • Perform complex legal work independently.
    • Enter and retrieve data from an automated system.
