    POSITION:

    The Office of Disability Access (ODA) is seeking a detail-oriented and highly organized Extra Help Administrative Support Specialist to provide part-time support for major Americans with Disabilities Act (ADA) compliance initiatives, strategic planning efforts, and the annual California Government and Disability Summit.

    This position provides essential coordination, documentation, and logistical support to ensure continuity and responsiveness across multiple high-impact projects.

    This Extra Help position is allocated to the Technical Specialist IV level and performs advanced sub-professional and technical program support work requiring independent judgment within established guidelines. The incumbent performs the more complex, prescribed phases of professional and technical assignments in support of ADA compliance, accessibility planning, stakeholder coordination, and event production.

    PAYROLL TITLE: Technical Specialist IV-MB

    DEPARTMENT/AGENCY: County Executive Office

    The eligible list established from this recruitment may be used to fill current and future Intermittent and Extra Help vacancies for this position only.

    There is currently one (1) Extra Help vacancy within the County Executive Office, Office of Disability Access.

    This recruitment is for Extra Help employment only. Incumbents are not eligible for benefits.

    Examples Of Duties

    Duties may include, but are not limited to the following:

    ADA Accessibility Projects
    • Coordinate communications between departments and the project consultant(s) regarding accessibility projects.
    • Assist with scheduling, logistics, and document tracking.
    • Maintain project documentation, timelines, and status updates to prevent delays and gaps in implementation.
    • Serve as a support point of contact for departments regarding scheduling and follow-up needs.
    • Track consultant deliverables and assist with invoice processing.

    California Government and Disability Summit Support
    • Assist with marketing and outreach efforts to promote the annual summit.
    • Track sponsorship development, registration, and accommodation requests.
    • Coordinate logistics for vendors, presenters, community partners, and program materials.
    • Support timeline management and overall event production.

    Strategic Plan and Ongoing Initiatives
    • Support implementation activities related to the Disability Access Strategic Plan.
    • Assist with coordination of internal trainings and employee engagement initiatives.
    • Provide administrative support for accessibility compliance efforts.
    • Support external presentation scheduling and content creation.
    • Prepare routine communications, reports, and project materials.

    General Administrative Support
    • Manage calendars and coordinate meetings with internal and external stakeholders.
    • Prepare meeting agendas, materials, and summaries.
    • Maintain databases and tracking systems.
    • Draft routine correspondence and communications.
    • Process invoices and assist with financial tracking.
    • Serve as a support point of contact for residents, staff, and community stakeholders.

    • Perform other related duties as assigned.


    Typical Qualifications

    These are entrance requirements to the examination process and assure neither continuance in the process nor placement on an eligible list.

    EDUCATION, TRAINING, and EXPERIENCE:

    Any combination of education and/or experience that would provide the knowledge and abilities listed below. An example of qualifying education and experience is as follows:

    Four (4) years of advanced-level clerical or administrative support experience, including conducting research, marketing, and/or performing community outreach

    OR

    The equivalent of a bachelor's degree in social science, political science, public administration, communication, marketing, or related discipline.

    NECESSARY SPECIAL REQUIREMENTS:
    • Able and willing to work Extra-Help (20 hours per week).
    • Must possess and maintain a valid driver license issued by the State of California as a condition of employment.
    • Strong interpersonal and communication (verbal and written) skills.
    • Strong organizational skills.
    • Basic Word and Excel proficiency.
    • Must be willing and able to perform the job duties with or without reasonable accommodation.

    DESIRED:
    • Experience with planning of events, meetings, and workshops.
    • Knowledge of general marketing communications principles.
    • Experience using Canva, and/or other graphic design tools.


    KNOWLEDGE, SKILLS and ABILITIES:

    Working Knowledge of:
    • ADA compliance, accessibility planning, or public administration.
    • Techniques and methods for gathering, synthesizing, evaluating, and conveying information.
    • Record-keeping and project tracking systems.
    • Departmental policies, procedures, and program directives.
    • Principles of effective stakeholder communication and coordination.

    Ability to:
    • Follow complex oral and written instructions.
    • Implement prescribed procedures and project coordination activities with minimal supervision.
    • Collect, analyze, and evaluate information for dissemination and reporting.
    • Prepare and interpret documents and technical communications.
    • Establish and maintain cooperative working relationships with departments, consultants, community stakeholders, and the public.
    • Act as lead worker on designated assignments and assist in training or guiding support staff as needed.
    • Manage multiple assignments with shifting priorities and deadlines.

    • Microsoft Office products
    • Graphic design tools
