    An Administrative Services Coordinator job is available with the City of Fort Worth's Property Management Department which consists of four divisions including Facilities Management, Fleet Services, Real Estate and General Services. The Property Management Department is a large, fast-paced, and rewarding department that is responsible for a wide array of services including: maintenance of the majority of City facilities, maintaining the City's fleet, land and property acquisitions including right-of-way and easement acquisitions. The Department is seeking to hire a highly seasoned and accomplished professional to fill the Administrative Services Coordinator position to supervise, manage and coordinate human resources functions for all the divisions, participate in the preparation and administration of the budget, and supervise staff. The ideal candidate will be an exceptional communicator and collaborator who can build a high level of trust and effective relationships with staff across the department.

    Minimum Qualifications:
    • Bachelor's degree from an accredited college or university with major course work in Business Administration, Public Administration, Human Resources or related field
    • Four (4) years of increasingly responsible administrative and operational experience in support of a department, division or major service area
    • One (1) year in a supervisory or lead capacity

    Preferred Qualifications:
    • Working knowledge of PeopleSoft Human Capital Management, Payroll and intermediate to advanced skills in Microsoft Office products (Outlook, Word, Excel, and PowerPoint)
    • Three years of supervisory responsibilities and human resource coordinator activities
    • Familiar with methods and techniques used to conduct a variety of analytical studies; experience in mapping work and process flows, and experience in creating policy and procedure documentation

    The Administrative Services Coordinator job responsibilities include:
    • Coordinate and assist departmental on-boarding meetings, prepare on-boarding materials for new hires and ensure new hires are trained in time entry
    • Oversee and assist with all payroll/timekeeping to ensure employees are compensated in an accurate and timely manner based on hours worked
    • Work with management and partner with Human Resources Department staff to ensure proper processes are adhered to for recruitment, terminations, disciplinary actions, Family Medical Leave and Worker's Compensation cases
    • Interpret personnel rules and regulations and provide guidance to supervisors and employees to ensure department-wide consistency in disciplinary actions, and research recruitment and compensation issues to minimize vacancies and ensure equity across the department
    • Prepare weekly reports for turnover, absenteeism, Family Medical Leave, disciplinary actions and other pertinent HR information. Research, interpret and analyze data collected and make recommendations, as needed
    • Implement Records Management policies; ensure compliance with City policies; and serves as subject matter expert of records retention schedules and challenges to ensure appropriate employee and departmental records are maintained, including medical, disciplinary and other human resource records
    • Represent the Department at HR meetings and trainings and act as primary contact for deadlines and assignments as communicated by the Human Resources Department
    • Participate in the preparation and administration of the department budget; forecasts funds needs for specific programs or projects; and monitors and approves expenditures

    Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

    Medical Program

    The City offers two plan options through Meritain Health, an Aetna company.

Also, services are available at any one of the five satellite locations that serves employees across the city.

    • Preventative services are covered at 100% on both plans.
    • Prescription Drug coverage including mail order pharmacy are also included.

    Vacation

    Eligible for 3 weeks of vacation: After successful completion of probationary period (usually
    6 months), employees may take time off for rest, relaxation, vacation, illness, religious observances, and personal business.

    Holidays

    Available on the first day of employment, the city provides employees with paid holidays, including two personal holidays.

    Wellness Program

    The city’s Healthy Challenge Wellness Program rewards all full-time, benefit-eligible employees on the city’s health insurance. The Healthy Challenge Program utilizes a points system. Participants may earn points throughout the year (Jan. 1-Dec. 15) for completing specific program activities and participants can redeem points at the end of the year for a cash reward. By participating, individuals can earn $150, $200 or $250 by accumulating program points.
