    ADMINISTRATIVE SUPPORT SPECIALIST - LIMITED SERVICE

    The City of Concord is accepting applications for a part-time Limited Service Administrative Support Specialist in the Human Resources Department. This position will close after 100 applications are received, or no later than October 30, 2024. What you will be doing:
    The Administrative Support Specialist position focuses heavily on customer service at the front counter and through phone and email, often serving as the first point of contact for internal and external customers. Additional duties may include record and file maintenance, data entry, performing word processing and typing a variety of documents, completing employment verifications, ordering supplies, and sorting and distributing mail.
    This is a part time, limited service position. The schedule is 32 hours per week, generally between 8am and 5pm, Monday through Thursday, excluding holidays. This assignment will end on June 30, 2025.

    The ideal candidate:
    • Possesses excellent customer service skills
    • Has the ability to collaborate with all internal staff and vendors
    • Has proficiency with Microsoft Word, Excel, and Outlook
    • Has strong, accurate data entry skills and pays attention to detail
    • Has the ability to organize, multitask, prioritize, and work under pressure at times
    • Has strong oral and written communication skills
    • Embraces, promotes and is guided by the City's Mission, Vision and Values

    SELECTION PROCESS
    Submit a completed City of Concord application and the required supplemental question responses online at www.cityofconcord.org/jobs . This position will close after 100 applications are received, or no later than October 30, 2024. All qualified applications and supplemental responses will be competitively evaluated, and those candidates demonstrating the strongest qualifications will be invited to interview. Successful candidates will be provided a conditional offer of employment and must clear DOJ/FBI livescan. See below for more information.
    Conviction History:
    If you receive a conditional job offer, you will be fingerprinted, and your fingerprints will be sent to the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI). The resulting report of your conviction history (if any) will be used to determine whether the nature of your conviction conflicts with the specific duties and responsibilities of the job for which you have received a conditional job offer. If a conflict exists, you will be asked to present any evidence of rehabilitation that may mitigate the conflict, except when federal or state regulations bar employment in specific circumstances. Having a conviction history does not automatically preclude you from a job with the City of Concord.

    Examples of duties include, but are not limited to

    • Receives visitors at a public counter and identifies their needs; answers telephone and provides a variety of information.
    • Operates computerized recordkeeping systems to enter or retrieve information; prepares and maintains records and reports on activities.
    • Copies, files, or posts data as instructed for purposes of recordkeeping.
    • Monitors facility or room calendars; assists with scheduling of events and meetings; coordinates with supervisor regarding set up, or other customer needs.
    • Oversees inventory and availability of supplies and equipment.
    • Runs errands and makes deliveries as needed.
    • Visually inspects cleanliness of work area; assists with organization and performs general housekeeping.
    • Composes brief correspondence and performs light typing as needed.
    • Performs other work as assigned.


    Qualifications

    Knowledge of:
    • Alphabetic and numeric filing, indexing, and cross-referencing methods
    • Basic arithmetic
    • Office work procedures and practices, including the operation of commonly used office machines
    • Basic-level knowledge of modern computer word processing, office, electronic mail and calendar software applications.
    • Principles and processes for providing internal and external customer service

    Ability to:
    • Work with complex and sensitive files and record systems
    • Make simple mathematical calculations
    • Understand and carry out oral and written instructions
    • Convey written and/or non-written information effectively
    • Quickly search and find information from resource systems, manuals and other documents and accurately and concisely convey such information orally and in writing
    • Give appropriate attention to what other people are saying, taking time to understand the points being made and asking questions as appropriate
    • Maintain appropriate attention to detail based on the complexity of work performed
    • Shift back and forth between two or more activities or sources of information, and to work efficiently and accurately on tasks with interruptions


    Education: Satisfactory completion of high school or the equivalent.

    Experience : A minimum of two years of clerical experience, including direct public contact, file maintenance and recordkeeping.

    Other

    Must possess a valid California Driver's License and a satisfactory driving record as a condition of initial and continued employment.
